An exciting opportunity exists as the Office Administrator reporting to the Director of Law. As Office Administrator, you will have a significant degree of responsibility and autonomy within a team-oriented environment. Primary duties include:
• Supervise some members of the Legal Services business operations administrative team; responsible for assisting with various personnel functions including recruitment and selection, and staff schedules, and onboarding and training employees.
• Manage the safety program for the Law business unit.
• Participate in budget/financial administration, including financial analysis/forecasting to develop budgets, and monitoring of specific accounts of budgets throughout the year.
• Manage accounts payable, accounts receivable and payment operations effectively, including corporate credit cards, payroll, petty cash, and payments on memberships, conferences and training.
• Support the Law Leadership Team and Staff in completing Information Technology (IT) processes including purchasing, maintaining, trouble shooting, updating, and installing software on desktop/laptops.
• Administer ProLaw, Legal Services' matter management system, including trouble shooting, managing updates/upgrades and providing Managers with reports.
• Manage office space, moves, changes in furniture configurations, and office supplies.
• Ensure that office equipment is in working order and life-cycled appropriately.
• Participate in benchmarking initiatives and discussions including attending meetings and gathering and submitting data as required.
• Participate on the Conflict of Interest Committee, set up and attend quarterly meetings, review quarterly audits of ProLaw Contacts/matters, and provide results and recommendations to Managers.
• Oversee the Corporate Records Management Program for Law.
Qualifications
• A completed 2-year diploma in legal studies and at least 4 years of legal experience.
• Equivalent combinations of experience and education may be considered.
• Knowledge of ProLaw, Human Capital Management (HCM), and Financial Supply Chain Management (FSCM) software, as well as familiarity with City of Calgary IT, Facility Management, Human Resources and Finance processes are assets.
• Proven leadership and management skills are an asset. As a City leader, you will model our corporate values and demonstrate key leadership behaviours.
• Proven strong interpersonal and communication skills and the ability to thrive in a high paced and changing environment.
• Ability to work independently as well as a leader and member on a team.
• Proven ability to maintain confidentiality and exercise discretion in addressing confidential and personnel matters.
