We are actively seeking to recruitment a part time Office Administrator to join our team.

The Office Administrator will oversee the daily operations of the office, coordinating office activities and maintaining services and facilities.

This role will be operated on a part basis, working 4 hours a day 5 days a week from the DLRC Office in Letchworth.

Key Responsibilities:
• Maintain a tidy, organised and positive office environment, ensuring the overall upkeep of the office and amenities is maintained
• Coordinate office maintenance and repairs as needed
• First point of contact for company visitors, answering the phone and taking messages, processing and distributing daily post
• Responsible for managing the admin and travel inbox, ensuring queries are dealt with swiftly
• Management of meeting rooms including booking and preparing with tea/coffee, water and catering as required
• Manage and order stationery, office and catering supplies, checking stock regularly and ordering and replenishing as necessary to ensure that supplies never run out and keeping costs to a minimum
• Take minutes at company meetings and distribute reviewed minutes to the team, including agenda preparation for the weekly All Hands meeting
• Ensure health & safety regulations are followed, including keeping policies and documentation up to date, conducting risk assessments, and overseeing first aid and fire marshal training
• Oversee the office cleaning contract, including the completion of monthly audits
• Responsible for booking group travel on behalf of the company including flights and hotels
• Make purchases on behalf of the company when required, including training and event attendance for employees
• Organisation of couriers for sending documentation on behalf of the admin and regulatory teams
• Work with the People Team regarding the onboarding & offboarding of employees
• Support with coordinating in-office and off-site events (inc for Conferences, Wellbeing & Inclusion events), including managing logistics, catering, and venue bookings
• Provide cover for the wider admin team with any relevant ad hoc duties as required
• Assist the Quality and Operations Manager as and when required, including ad hoc tasks and projects.

Competencies/Requirements:
• Ability to take responsibility to resolve issues objectively
• Experience in using standard office software applications (e.g. Microsoft Office including Word, Excel, Outlook)
• Strong organisational and time-management skills
• Ability to multitask and prioritise tasks effectively
• Good attention to detail with strong problem-solving skills

• Work effectively to share responsibility as a team member
• Adept at communication with all levels of staff including directors, external clients and suppliers and other team members

• Qualified to work in the UK
• Fluent written and spoken English.
