Position Overview

We are seeking a highly organized and professional Office Administrator with a genuine interest in public relations, media, and marketing.

This role is best suited for someone looking to build a long-term career in operations within a growing company. We are looking for a dependable individual who values consistency, structure, and being a key part of a high-performing team.

You will play a critical role in maintaining seamless operations while supporting projects that directly impact client visibility and company growth.

Key Responsibilities

Manage calendars, scheduling, and coordination of client meetings, media calls, and internal strategy sessions
Track PR campaigns, including media outreach, follow-ups, and coverage
Draft and organize press materials, media lists, and campaign assets
Handle professional email correspondence with clients, media contacts, and partners
Maintain highly organized systems for client files, media contacts, and ongoing campaigns
Coordinate onboarding of new clients to ensure a seamless experience
Support invoicing, payment tracking, and basic administrative finance tasks
Coordinate logistics for media events, influencer activations, and brand launches
Track campaign performance and compile reports
Identify and implement ways to streamline systems and improve operational efficiency

Qualifications

Strong working knowledge of Google Workspace (Docs, Sheets, Drive, Calendar)
Intermediate to advanced Excel skills (data tracking, organization, basic reporting)
Comfortable using Zoom and CRM systems
Bilingual (English/French) preferred
Self-starter who takes initiative and solves problems proactively
Genuine interest in media, branding, marketing, or public relations
