POSITION DETAILS
Position: Administration CoordinatorType: Full-Time, PermanentLocation: Brisbane, QLD (flexible WFH options)Salary: $60,000 - $70,000 per annum
ABOUT US
We’re an established specialist contractor in rail and civil construction operating across QLD and NSW, VIC & WA. We work with major clients including government agencies and tier-1 contractors on track construction, rail welding, and large civil and rail infrastructure projects.
THE ROLE
The Administration Coordinator supports our operations team by managing project administration, client communications, compliance documentation, and crew logistics across multiple concurrent projects.
This is a hands-on, varied role in a small team where your work directly impacts project success.
KEY RESPONSIBILITIES
Project & Client Management:
∙ Prepare quotes and tender submissions
∙ Manage client communications and correspondence
∙ Coordinate project documentation from award to completion
∙ Maintain professional client relationships
Crew & Compliance:
∙ Create crew rosters and coordinate availability
∙ Book accommodation and arrange logistics for regional work
∙ Prepare and submit compliance documentation (RIW pre-work lists, inductions, certifications)
∙ Maintain crew qualification database
Financial & General Admin:
∙ Prepare and submit invoices
∙ Track payments and manage accounts
∙ General office administration and correspondence
∙ Support operations team with ad-hoc tasks
REQUIRED SKILLS & EXPERIENCE
Essential:
∙ 2+ years administration experience
∙ Strong written/verbal communication skills
∙ Proficient in Microsoft Office (Word, Excel, Outlook)
∙ Excellent organizational skills and attention to detail
∙ Ability to work independently and prioritize multiple tasks
∙ Professional, proactive approach
∙ Australian working rights
Highly Regarded:
∙ Construction, civil, or rail industry experience
∙ Understanding of compliance/safety documentation
∙ Experience with project management systems
∙ Knowledge of Rail Industry Worker (RIW) requirements
