Prestige Hotels and Resorts’ Corporate Office is looking for a full-time Office Assistant to join our team in downtown Kelowna.

Scope of Responsibility

The Office Assistant provides support to all departments of the Prestige Hotels & Resorts Corporate office. Reporting to the Chief Operating Officer, the Office Assistant is responsible for the general upkeep of the office, including general clerical duties, administrative support of sales, marketing and operations, including assignments from the CEO and President.

General Office Duties:

Greet people coming into the office

Screen visitors without appointments

Drive to pick-up/drop-off of supplies, items and documents

Order office supplies

Maintain company vehicles including: tires, brakes, oil changes, windshields, etc.

Prepare boardroom for meetings

Coordinate with cleaner to ensure office / building is kept clean and orderly

Maintain supplies for kitchen and bathrooms

Check voicemail and email for team members if they are out of office

Organize and book flights and contra hotel rooms

Add “out of office” messages for Joe and Terry’s phones

Daily cleaning/maintenance of the coffee maker

Load/empty dishwasher as required

Purchase and organize Birthday Cards for the corporate office staff birthdays

Clerical Support:

Respond to emails coming to the general email. (answer / forward inquiries, assist guests as needed)

Answer ‘General Reception’ phone extension and screen calls as required

Clerical support for executive team (e.g., scanning, copying, etc.)

Assist with ongoing updates of the PPM and corresponding Resources, as requested by the Executive Staff

Filing as required; maintain organized file cabinets

Shredding

Sort and distribute mail

Prepare mail and take to post office or arrange other shipping

Building / Tennant Support:

Liaise with building tenants as required

Call for maintenance support

Use resources such as downtown on call to assist with problematic neighbors

Issue parking passes to staff and tenants

Mitigate parking violation tickets as required

Gift Certificates:

Review GC requests at the beginning of each month for the following month

Issue GCs Include appropriate marketing material and letters

Maintain tracking spreadsheet

Maintain copies of GCs on network

Gift certificate baskets for high profile events

Gift certificate trades with other hotels (holiday trades, etc.)

Purchasing/Printing:

Maintain office supplies & bulk order printing items

Obtain quotes from various suppliers, as needed

Place orders and distribute (chain wide items)

Invoice breakdowns for accounting, file copies in appropriate binders/folders

Maintain supply of collateral (sales & marketing)

Hotel Supply Deliveries:

Communicate with hotels for month end requests (printing items, supplies, etc.)

Prepare items for distribution, load truck

Create list of items and locations to be distributed to during Site Visit Trips.

Contra:

Execute contra reservations for clients

Maintain contra tracking spreadsheets

Execute contra agreements

Distribute vouchers as required

Job Types: Full-time, Permanent

Pay: $1+.00-$21.00 per hour
