You will support a wide range of administrative, data entry, inventory, and reporting activities that keep the business moving every day. No two days look the same. This is a hands-on role where you will be trained on our systems and processes, and we expect you to take ownership of your responsibilities over time. CORE RESPONSIBILITIES
You will be trained on all the following. Prior experience in these specific areas is not required—what matters is your ability to learn, stay organized, and follow through.
Purchasing & Vendor Support
Help the buying team by tracking vendor reports, preparing pricing updates for review, and keeping order forms organized and up to date.
Office Organization & General Support
Answer and route phone calls professionally, take messages, and follow up as needed.
Review security camera footage when an incident needs to be investigated.
Handle everyday errands: lunch runs, document deliveries, and miscellaneous tasks as they come up.
Scan, file, and organize documents—both physical and digital.
Assist with cash office tasks such as deposits, safe maintenance, and end-of-day closing procedures.
Help with basic marketing tasks like sending WhatsApp messages and distributing flyers.
Keep shared company calendars updated for facility maintenance and dock scheduling.
Manage incoming and outgoing mail, monitor general company email accounts, and order office supplies.
Maintain a clean, organized office environment.
Data Entry & Customer Support
Enter orders, process payments, and maintain accurate records in our computer systems (training provided).
Assist with accounts payable tasks such as entering purchase orders, receiving inventory, and processing vendor bills.
Help set up new customer accounts and assist existing customers with payment paperwork.
Research and add new products into the system as needed.
Reporting
Prepare and submit recurring compliance reports on a set schedule (you will be trained on the process).
Pull together ad hoc reports as requested by leadership.
Inventory Support
Track and follow up on shipping discrepancies (overages, shortages, and damages) until they are resolved.
Assist with tobacco stamp ordering and product preparation processes.
Help monitor inventory for slow-moving, stale, missing, or returned products and flag issues to leadership.
Support promotional setup: scheduling, entering details in the system, and tracking results.
Update product records by adding barcodes, deactivating discontinued items, and entering data for our customer ordering app.

QUALIFICATIONS
Required
High school diploma or equivalent.
Fluent in English and at least one of the following: Hindi, Gujarati, or Urdu.
Strong attention to detail and a commitment to accuracy.
Comfortable using a computer—experience with Microsoft Office (Outlook, Excel, Word) or similar tools.
Organized and able to juggle multiple tasks without dropping the ball.
Clear verbal and written communication skills.
Dependable, punctual, and able to work independently once trained.
Willing to take on a wide variety of tasks—no job is too small.
Positive attitude and eagerness to learn new skills and systems.
Preferred (Not Required)
Prior office, administrative, or back-office experience in any industry.
Familiarity with any ERP, inventory, or accounting software.
Experience in wholesale, distribution, or retail environments.
