Job Description
Organizing the Office: Assist in organizing and maintaining the office environment to optimize daily administrative operations.
Communication Handling: Manage incoming calls, emails, and other communications promptly and professionally.
Record Keeping: Create and update records, ensuring accuracy and validity of information.
Scheduling and Planning: Schedule meetings, appointments, and coordinate office calendars.
Inventory Management: Monitor office supplies, handle shortages, and order new materials as needed.
Problem Resolution: Address office-related malfunctions and respond to requests or issues.
Collaboration: Coordinate with other departments to ensure compliance with established policies.
Relationship Building: Maintain positive relationships with suppliers, customers, and colleagues.
Receptionist Duties: Perform receptionist duties when needed.
Requirements and Skills:
Proven experience as an office assistant or in a relevant administrative role.
Knowledge of “back-office” computer systems (such as ERP software).
Familiarity with office equipment.
Excellent organizational and time management skills.
Analytical abilities and problem-solving aptitude.
Strong written and verbal communication skills.
Proficiency in MS Office.
