Job Description
We are seeking a dedicated and detail-oriented Office Assistant to join our team. The ideal candidate will play a crucial role in supporting daily office operations, ensuring smooth communication, and providing excellent membership support. This position is perfect for someone with strong organizational skills and a passion for working in a dynamic environment. Our Office Assistant works Tuesday to Saturday, 35 hours per week at the Association's Main Hall located at 3870 Colake Road, Courtenay, on the beautiful shore of Comox Lake.
Duties
Manage incoming calls and respond to inquiries regarding Association memberships, Hall rentals, general inquiries, with professionalism and courtesy.
Enhance the Association's reputation by explaining our facilities and venues, and providing tours of our Main Hall, and provide contact information regarding other venues and committees.
Assist with preparations of various CDFGPA calendars, preparing informational binders and other documents for the Executives and Directors.
Maintain security of all confidential Association business information, money, and assist in preparation and making of bank deposits, receiving monies from venues, members and public. Provide floats to venues, make invoices and receive payments, deal with incoming and outgoing postal mail.
Maintain Association filing systems and assist with maintaining and updating the Associations Webpages, and Main Hall Bulletin Board
Process Association memberships from our online system, office walk ins, including issuing membership cards and decals, gate keys and cards and maintaining the membership data base.
Assist Executives and Directors with typing, printing and photocopying for Association business.
Perform data entry tasks and maintain accurate records.
Proofread documents for accuracy and clarity before distribution..
Organize and maintain office equipment, supplies and inventories, ensuring adequate stock levels.
Utilize Sage Accounting and Microsoft Office Suite for document creation, spreadsheets, and presentations.
Opening the Main Gate at 0800 on Resident Caretakers days off and locking it closed when you depart for the day.
Collaborate with team members to enhance workflow efficiency, and fulfilling other duties as requested by the Office Administrator or Administration Committee Chairperson
Requirements
Previous experience as an Office Assistant/Receptionist or in a similar clerical role is preferred.
Pleasant and positive customer service attitude.
Operational knowledge of email systems, data base operations and maintenance is a plus.
Operational knowledge with POS systems.
Familiarity with web pages and their operations and maintenance is a plus.
Strong organizational skills with the ability to manage multiple tasks effectively.
Excellent proofreading skills to ensure high-quality documentation.
Proficient in using phone systems and handling membership, public support inquiries.
Experience with Microsoft Office/Google Suite applications (Docs, Sheets, Drive) is required.
Ability to keep Association business information confidential.
Ability to safely handle cash, cheques and prepare basic accounting of these items.
A positive attitude and willingness to learn new processes are essential.
