JOB DESCRIPTION Job title Office Boy/Admin Assistant Department: GFATM Location New Delhi Grade: A Reporting to: Manager Administration Level Of Contact With Children: 1 (Direct contact with children) The position holder shall be responsible to adhere & work within the ambit of Plan India\xe2\x80\x++s Child Protection & Gender Equality Policies. PROJECT OVERVIEW The \xe2\x80\x+cSupply Chain Management Strengthening (SCMS) Project for HIV/AIDS and TB drugs\xe2\x80\x+d aims to strengthen the technical capacity of the National AIDS Control Organization (NACO), Central TB Division (CTD), State AIDS Control Societies (SACS) and State TB Cells (STC) to design, manage and monitor supply chains for improved access and availability of high-quality ARVs, TB drugs, diagnostics and other commodities across India. The Project is led by Plan International (India), the Principle Recipient (PR) for the HIV and TB Supply Chain grant under the Global Fund to Fight AIDS, Tuberculosis and Malaria (GFATM) for India to support NACO\xe2\x80\x++s response to AIDS epidemic and Central TB Division (CTD) towards TB elimination. The SCMS project will be implemented by Plan International (India Chapter) as PR in collaboration with JSI R&T India Foundation as Sub-Recipient and 3PL services providers by the private sector. JSI R&T India Foundation as Sub-Recipient (SR) is mandated to provide technical assistance for improvement of the supply chains of ARV, TB drugs, diagnostics and other commodities under NACP and NTEP at regional and state level. The project will also leverage the private sector for the distribution of ARV, TB drugs, diagnostics and other commodities to ensure the availability and accessibility of drugs and commodities of both the programs across their facilities. JOB SUMMARY Reporting to Manager Administration, the Administration Assistant will be responsible to provide day-to-day office management and logistics support to the GFATM Project team. Housekeeping: Administration \xe2\x80\x+3 Office Upkeep and Housekeeping To maintain adequate inventory of office supplies such as stationery items, tea / coffee, water jars, etc. To assist Admin Assistant in managing all the in house meetings by receiving the guests and serving tea/coffee to the guests during the meetings. To arrange meeting rooms for any in house meetings and making them ready for the meeting as per the need. To ensure sorting and delivery of mails, couriers, etc to the staff members To consolidate and keep a record of various utility bills and forward the bills to the Accounts teams for payments Logistics: To assist for logistics requirements of all events / conferences organized for the project To coordinate with the participants and logistics management agencies for hassle free logistics arrangements considering the safety, security, hygiene, locations and prices To arrange sitting arrangements in the office for new joiners Travel: To coordinate with Admin Officer \xe2\x80\x+3 Reception for assignment of duties of the drivers and taxi service providers to meet the travel requirements of all the staff members / guest of the team. To coordinate with Admin Unit regarding procurement / supplies of goods and services. Vendor Management: To coordinate with vendors as and when required or as advised by line manager To coordinate with the Accounts team for timely payments to all vendors Record Keeping and Documentation: Maintain all the records and documentation in hard copy as well as scanned copy Maintain files and records by storing them in proper manner Asset Management: To assist Admin Assistant for the inventory management of assets To help Admin Assistant in annual asset verification To make sure of laptops and other requirements for new joiners Petty Cash Management: To handle Petty Cash account To timely record all expenses in petty cash register for record keeping and submit the records to the Accounts Team Any other job assigned by the Line Manager EDUCATION AND EXPERIENCE 1. 10 + 2/Graduate degree in any disciplines; 2. Ability to listen, respond and relate with respect, empathy and congruence; 3. Strong analytical skills and good IT skills \xe2\x80\x+3 ability to use MS Office; 4. Strong problem-solving, innovative and creative thinking skills; 5. Strong organisational and time management skills to meet deadlines; 6. Ability to work independently and as part of a team.
