Job Description
Key Responsibilities
· Oversee day-to-day office operations, set priorities, and ensure administrative systems and workflows support safe and compliant asbestos removal activities.
· Manage compliance and regulatory requirements, including preparing and approving documentation for SafeWork NSW notifications, ISO 45001 obligations, Asbestos Removal Control Plans (ARCPs), Safe Work Method Statements (SWMS), Work Approval Forms, and EPA waste tracking.
· Assist the Director with monitoring office expenditure, reviewing invoices and supporting budget planning for administrative operations.
· Coordinate staffing and resource allocation for each project, ensuring appropriately qualified staff are assigned, including supervisors, painter, friable and non-friable asbestos personnel, and any required specialist operators.
· Oversee and maintain accurate office record keeping.
· Lead recruitment, onboarding and performance management, coordinating training, maintaining competency records and ensuring a high-performing administrative and field workforce.
· Oversee health and safety processes, including risk assessments, emergency procedures, toolbox talks and mandatory lung health monitoring, ensuring accurate record keeping for regulatory and client reporting.
· Liaise with clients, asbestos assessors, builders, SafeWork NSW, the Environment Protection Authority, auditors and the company’s accountant, ensuring all communication, documentation and reporting required for safe and compliant operations are completed accurately and on time.
· Manage post-removal inspections and clearance documentation, coordinating assessor attendance and ensuring clearance certificates are distributed to clients, regulators and other required stakeholders.
· Supervise office resources, accounts, equipment, and insurance compliance, ensuring all tools, PPE, office infrastructure, financial documentation and insurance policies (including public liability, workers’ compensation and commercial insurances) are current and meet industry and regulatory standards.
· Supervise administrative staff, allocate and review tasks, and conduct regular team meetings to ensure workflow standards are maintained.
· Manage office software platforms, communication systems and document control systems, ensuring they operate effectively and support business needs.
· Prepare for and coordinate internal and external audits, including ISO 45001 audits, licensing inspections, insurance reviews and compliance assessments required to maintain the company’s friable asbestos licence.
