The Roots of Music is an afterschool program offering music education for over 200 K-12 students across New Orleans. Our flagship program, the Marching Crusaders Band, serves kids ages +-14 from low-income households and provides them with hot meals and round-trip transportation to reduce common barriers to participation. Five days a week, 12 months a year, our program delivers over 2,500 hours of music education and academic tutoring, over 30,400 nutritious hot meals, and 1,400 bus journeys. Founded in 2007 by Derrick Tabb, our campus is in the historic Treme at St. Peter Claver School.

Position Title: Office Manager
Reports To: Chief Operating Officer (COO) and Executive Director (ED)
Position Summary:
The Office Manager is responsible for ensuring the smooth operation of The Roots of Music’s office environment. This position oversees daily administrative tasks, manages organizational systems, and provides direct support to the Executive Director and Chief Operating Officer. The Office Manager will assist with scheduling, correspondence, and coordination to enhance leadership efficiency while maintaining a well-organized and professional office.
Essential Duties and Responsibilities
Office Management
Manage day-to-day office operations, including ordering supplies, maintaining office equipment, and overseeing vendor relationships.
Serve as the point of contact for general inquiries, mail, and deliveries.
Maintain organized filing systems (physical and digital) for key organizational documents.
Ensure a professional and welcoming office environment for staff, visitors, and partners.
Executive Support
Manage calendars for the Executive Director and Chief Operating Officer, including scheduling internal and external meetings.
Assist in drafting, editing, and sending correspondence (emails, letters, and memos) on behalf of the ED and COO.
Coordinate travel arrangements and itineraries for the leadership team.
Prepare meeting materials, take notes, and track follow-up tasks as needed.
Provide logistical support for board meetings, including scheduling and agenda preparation.
Administrative Support
Assist with data entry, filing, and general administrative tasks to support operations and development staff.
Maintain office systems to ensure smooth communication and coordination among teams.
Support COO with managing contracts, invoices, and other administrative duties.
Track office expenses, reconcile receipts, and support budget management as needed.
Event and Project Coordination
Assist with logistics for events, meetings, and special projects as directed by the ED and COO.
Manage RSVPs, invitations, and other communication for organizational events.
Coordinate with internal and external stakeholders as needed to support key initiatives.
Qualifications
Associate’s degree or equivalent relevant experience required; Bachelor’s degree preferred.
2+ years of experience in office management, executive support, or administrative roles.
Strong proficiency in Microsoft Office Suite, Google Workspace, and calendar management tools.
Excellent organizational and time management skills with keen attention to detail.
Professional written and verbal communication skills.
Ability to handle sensitive and confidential information with discretion.
Strong interpersonal skills with the ability to work effectively with leadership, staff, and external partners.
Proactive, resourceful, and able to manage multiple priorities in a fast-paced environment.
Work Environment requirements:
Full-time, in-person position based at The Roots of Music’s office.
Occasional evening or weekend support may be required for events.
Physical Demands:
This position involves regular walking, standing, sitting for extended periods of time, hearing, and talking.
May occasionally involve stooping, kneeling, or crouching.
May involve close vision, color vision, depth perception, focus adjustment, and viewing a computer monitor for extended periods of time.
Involves manual dexterity for using a keyboard, mouse, and other office equipment.
