Job Description
Responsibilities of the Office Services Coordinator:
• Coordinate daily office support functions to maintain an efficient and well-organized workplace
• Process incoming and outgoing mail, including overnight deliveries, courier requests, and certified mailings
• Maintain and organize both client and internal filing systems in accordance with firm standards
• Provide first-level assistance with routine technology issues involving Outlook, printers, and employee workstations
• Partner with external IT vendors to troubleshoot and resolve more advanced technical concerns
• Oversee inventory and ordering of office supplies, kitchen items, and other operational necessities
• Support onboarding and offboarding efforts, including coordinating workstation setup and office access
• Ensure conference rooms and common areas are clean, organized, and properly prepared for meetings
• Assist with administrative tasks related to marketing initiatives and business development projects
• Provide support on additional office operations projects and assignments as needed
Qualifications for the Office Services Coordinator
• 2+ years of experience in office services, administrative support, or a related professional environment preferred
• High school diploma or equivalent required; associate’s or bachelor’s degree preferred
• Strong organizational abilities with the capacity to manage multiple responsibilities and deadlines
• Professional communication skills, both written and verbal
• Proficiency with Microsoft Office applications, including Outlook and Word
• Experience handling basic technology troubleshooting or coordinating with IT support resources
• Ability to exercise discretion and maintain confidentiality with sensitive information
• Detail-oriented and proactive with strong problem-solving capabilities
• Ability to work independently while contributing positively within a team-oriented environment
