Trixstar LIVE was created in 2005 and is a 360º event management, consultation, marketing & operations firm that activates both city and rural markets across North America with festivals, concerts, celebrity experiences, brand activations and keynote speaker engagements. We create unique experiences and impactful events that generate excitement and create everlasting memories along with raising funds for local charities. Trixstar LIVE has produced some of the largest music festivals and shows in Canada such as the Big Valley Jamboree and Grey Cup Festival. As part of Trixstar LIVE's event portfolio they produce The Great Outdoors Comedy Festival which now operates across Canada and into the United States. The festival brings the largest comedians to these premier cities and Canada's most well-known parks such as Stanley Park and The Garrison Grounds.
• The Opportunity
- _Foster a positive and creative atmosphere:_“no-ego” attitude, coupled with a passion to learn more about the events industry.
- _It’s all in the details:_ Attention to detail and an eye for aesthetics. Making schedules, inventory sheets and documents aesthetically pleasing and branded to Trixstar LIVE or the specific event.
- _Innovative Efficiency:_ Collaborate in crafting checklists and systems to enhance company processes. Champion efficiency improvements, cost-cutting strategies, and explore new revenue streams within the department.
• Event and Festival Management
- Contractor management includes quoting, negotiating, event logistics, set up coordination, invoicing and full execution.
- Assist in creating budgetary requirements and tracking the financial aspects of all areas of production.
- Electronically filing and organizing contractor quotes and information.
- Fully execute and lead site builds as needed managing all aspects of the event and providing direct support to all areas of the event.
- Assist in hiring event managers and staff. Providing support before, during and after the event.
- Attends and schedules production and operations meetings.
- Maintain “past show” files.
- Review and brainstorm site map ideas with the Director of Operations.
- Marking out event sites and directing contractors for set up and tear down.
- Work with Trixstar Entertainment clients and support on client shows as needed.
- Opportunity to advance artists, work with tour managers and gain experience in the stage/artist side of the industry if needed.
- Create safety documents, policies and procedures for Trixstar LIVE and for specific events. Run safety meetings as needed or as you feel necessary.
- Process all Contractors and Suppliers onsite credentials.
- Make all arrangements that are necessary for our contractors and suppliers to be successful at the festival.
- Ensure that Operations and Logistics Crew have all necessary tickets/training.
- Make all arrangements for onsite accommodation and catering needs.
- Ability to create to-scale site maps using software such as AutoCAD, Vectorworks, Adobe Illustrator, One Plan or equivalent.
- Manage all on-site crews and lead a complete festival build.
- Lead city and government relations including but not limited to working with Police, Fire, Civic Events, Liquor Associations and Parks.
- Create turf mitigation and management plans for premier parks in Canada and USA.
• Logistics and Shipping
- Oversee logistics and shipping coordination, festival trucking, east coast storage options, tracking, and ensuring all festival items are scheduled, shipped and land on time in coordination with ground crews.
- Research and create methods of shipping with focuses on optimizing space utilization and cost effectiveness.
- Create and manage shipping processes that will better optimize our festival builds and tear downs.
• Ensure Safety as a Top Priority
- Execute and build Trixstar Emergency Response Plans and ensure on-site safety procedures are being adhered to by all.
- Maintain all required Safety Training Certification Tickets and ensure staff have all required certificates and training.
- Conduct safety and toolbox meetings as required.
• Client Relations
- Work with Trixstar clients and offer operational and full event support planning and consultation as required.
• What You’ll Bring to The Table
- At least 5 years’ experience working in festival and event operations management.
- Flexible Schedule, ability to work weekends, holidays and long weekends as needed as well as travel across Canada or out of the country.
- Ability to handle multiple projects simultaneously.
- Ability to work long hours over event execution days.
- Ability to make clear concise decisions, sometimes with limited information.
- Must possess superior interpersonal communication and organizational skills.
- Self-starter, ability to work independently from home.
- Ability to create to-scale site maps using software such as AutoCAD, Vectorworks, Adobe Illustrator, One Plan or equivalent.
