The India and Japan Councils are key contributors to ULI’s regional growth, delivering programs, convenings, research dissemination, and member engagement across both markets. To support this expansion, we are seeking detail-oriented and proactive Operations & Marketing services.

Scope of Services

The Operations & Marketing Contractor supports the smooth execution of programs, events, and member engagement activities for the ULI India and Japan Councils. This role is responsible for backend systems management, data accuracy, event logistics, delivering on marketing straetgies, communication support, and day-to-day operational coordination in alignment with APAC regional standards.

This opportunity is ideal for an early-career professional (2–4 years) who is organized, motivated, comfortable working across countries and teams, and confident managing multiple operational workflows simultaneously.

The role reports to the respective Council leadership and works closely with the APAC regional office.

1. Systems & Backend Operations

Set up all events, programs, and registrations in ULI’s CRM and associated platforms.
Create and maintain customer and member profiles; ensure accuracy and data integrity.
Manage invoicing, payment tracking, and follow-ups for paid programs.
Provide troubleshooting for registration, login, and CRM-related user issues.
Maintain and update databases for members, sponsors, vendors, and event attendees.
Generate operational and event-related reports, reconciliations, and dashboards.
Maintain shared calendars and coordinate alignment across India, Japan, and the APAC regional teams.
2. Event Operations & Logistics

Coordinate end-to-end operations for in-person and virtual events, including:
registration setup and attendee tracking
venue and vendor coordination
speaker management and scheduling
Provide technical support for webinars and hybrid events (platform setup, execution, troubleshooting).
Manage on-site logistics: check-in systems, badges, signage, seating, A/V, and room flow.
Develop and manage presentation materials, run sheets, briefing notes, and event checklists.
Oversee documentation including photos, videos, recordings, and post-event summaries.
Execute post-event workflows:
attendance reconciliation
thank-you emails
surveys
nudges for upcoming programs
member and non-member follow-up (renewals, conversion messaging)
Coordinate travel and logistical arrangements for speakers, program contributors, and key stakeholders.
3. Marketing Support (Execution-Focused)

Create and send e-blasts using approved email disbursement and marketing systems.

Produce essential event collateral: invitations, banners, slides, graphics, and program materials.
Copywriting for emails, marketing, and social media.
Support social media posts for event announcements and recaps
Maintain and update ULI India and Japan Council webpages with event listings, summaries, and key updates.
Track basic analytics from email and social media platforms to improve operational performance.
Coordinate with the APAC marketing team to ensure brand consistency and template adherence.
4. Member & Program Support

Respond to member and customer inquiries related to events, systems, payments, and renewals.
Conduct follow-up with expired members using standard renewal messaging; send renewal confirmations.
Support sponsor servicing by ensuring accurate operational delivery of entitlements (web listings, event visibility, collateral placement).
Promote regional and global ULI programs (Awards, Hines Competition, TAPs, APAC Summit, Greenprint, research releases) through operational communications and system updates.
SKILLS AND COMPETENCIES

2–4 years of experience in operations, events management, program coordination, CRM/data management, or administrative support.
Strong written and spoken English; Japanese is a plus.
Ability to use CRM systems, event registration tools, and email marketing/disbursement platforms.
Strong organizational and project management skills; able to manage multiple timelines across two countries.
Proficiency with design tools (e.g., Canva, Photoshop, Illustrator) for creating slides and event graphics.
High attention to detail, accuracy in data management, and comfort working with systems.
Proactive, reliable, and able to manage tasks with minimal supervision.
Strong interpersonal skills and comfort working with senior executives and external partners.
QUALIFICATIONS

Bachelor’s degree in Design, Business Administration, Marketing, Communications, Architecture or Urban Planning, or a related field.
Experience with CRM platforms, marketing/email automation systems, or event management tools preferred.
Ability to travel occasionally within the Asia Pacific region.
