Answer all enquiries or refer them to the person responsible

Ensure information brochures and posters are kept up to date in waiting room
Ensure that waiting room is kept clean, tidy and presentable
· Utilise computerized appointment system
· Allow time for emergencies, hospital visits, long consultations etc
· Set up and monitor doctor’s/nurses appointments
Administration duties including photocopying, filing, faxing and record keeping
Handle both incoming and outgoing mail, couriers and special deliveries
Utilise electronic mailing system (E-mail) where necessary
Word Processing where necessary
Maintain cash, cheques, EFTPOS and petty cash for patient accounting
Maintain financial patient accounting by recording and updating financial information
Ensure debt collection procedures are in place by reviewing monthly
Sending accounts rendered to outstanding debtors monthly

File all necessary documents in patients’ individual files
Treat medical documents as legal evidence
Ensure that all typing is done in an accurate and timely manner
Retrieval and filing of patient notes, reports etc and to take responsibility for this being up to date
Ensure all correspondence is distributed and filed correctly
Treat all patient encounters and medical information as confidential
Maintain all practice, patient and staff confidentiality
