The Opportunity
We’re looking for a highly organised and customer-focused Parts & Service Administrator to join our team on a fixed term contract. This is a fantastic opportunity to step into a fast-paced, supportive environment where no two days are the same.
In this all-rounder role, you’ll provide end-to-end support across both Parts and Service, playing a key role in keeping our branch running smoothly while delivering an exceptional customer experience.
You will be responsible for:
Over the counter and phone sales, interpreting customer needs and providing solutions
Supporting internal workshop sales and assisting with warehousing duties
Booking service appointments and coordinating workflow between customers and the workshop
Interpreting customer concerns and ensuring clear communication with technicians
Preparing and managing repair orders (ROs), ensuring accuracy and correct coding (warranty, retail, etc.)
Handling purchase orders, receipting, data entry, and system updates
Managing account queries, reconciliations, and follow-ups
Liaising with the parts team to ensure availability of required components
Providing general administrative support across the service team
Ensuring all customer interactions are professional, accurate, and customer-focused
What we’re looking for:
A strong customer-first mindset
Excellent communication skills with both customers and internal teams
High attention to detail and ability to multitask
Confidence interpreting customer needs and translating them into action
Experience in administration, service coordination, or parts (automotive/heavy vehicle ideal but not essential)
A proactive attitude with a drive to improve processes and outcomes
