Role Overview
This is a patient-facing, on-site role requiring daily presence in clinic. Remote working or work-from-home arrangements are not available for this position.
The Patient Coordinator will be the first point of contact for all new and existing patients, guiding them from initial enquiry through to assessment, surgery booking and post-operative follow-up.
A key responsibility will be to chaperone the surgeon during in-person patient consultations, ensuring the patient is supported, respected, and fully informed throughout.
This role blends front-of-house patient care, diary management, and performance-driven conversion..
Key Responsibilities
Work in clinic daily to provide a professional, welcoming front-of-house presence
Chaperone during in-person patient consultations with the surgeon
Act as the main liaison for enquiries via phone, email, WhatsApp and CRM
Confidently convert enquiries into assessments and procedure bookings
Conduct initial triage calls and explain treatment pathways
Maintain surgeon diary and manage clinical appointment scheduling
Support patients with pre-assessment, consent, and preparation information
Attend on procedure days to ensure smooth patient journey and experience
Follow up after consultations to support decision-making and address concerns
Manage pricing, finance discussions and payment options ethically and professionally
Maintain accurate CRM records and timelines
Deliver a premium, patient-centred client experience at every touchpoint
Achieve monthly conversion and performance targets
Essential Requirements
Previous experience in hair transplant, cosmetic clinics, or private healthcare (preferred)
Proven patient coordination, clinic admin or medical sales experience
In-person, clinic-based communication skills (professional, warm, confident)
Comfortable in a chaperone role, supporting both patient and surgeon
Outstanding telephone manner and written communication
Ability to maintain confidentiality and manage sensitive patient information
Strong organisational and scheduling skills
Competent with CRM systems, diary management software and digital communication tools
Desirable Skills
Understanding of FUE/FUT procedures, PRP, finasteride/minoxidil
Familiarity with CQC compliance and patient pathway documentation
Experience with private medical self-pay patients
Knowledge of upsell/cross-sell in premium healthcare environments
High emotional intelligence and ability to support nervous or uncertain patients
Commission & Incentives
Uncapped commission structure based on treatment bookings and conversion
Tiered earning potential linked to revenue generated
Excellent earning potential for high performers (typical industry earnings can be significantly above base salary)
Working Hours
Full-time, in-clinic, typically Monday–Friday
Scope for part-time or job-share
Occasional weekend consultation or event days may be required
No remote-working arrangements (role is entirely on-site)
Probation and Development
6-month probationary period
