Ko te tima - About your team
The Authorisations and Authority team is the centralisation of our technical advice and authorisations capability for WorkSafe who strive on excellent operational outcomes.
O te turanga - About the role
Your role is to help support the Head of Authorisations and Authority from arranging travel, accommodation, transportation and itineraries. Preparing travel expense reports and manage reimbursements while ensuring cost-effective arrangements. You will act as the point of contact between internal/external stakeholders, screen communications and requests. Track and follow up on delegated tasks and projects to ensure completion and assist in project coordination and support cross-functional teams as needed, liaise with business support and building management.

Work closely with the Principal Advisor, Leadership Team and wider Authorisations and Advisory unit
Be an active participant in A&A management meetings
Manage and maintain schedules, including meetings, appointments, and travel arrangements
Prepare and edit correspondence, communications, presentations, and other documents
Inbox Management
Schedule, prepare agendas, and take minutes during meetings
Organise internal and external events, including logistics, catering, and venue booking .
Be an ambassador for WorkSafe's permitting functions
Ensure the Head of Authorisations and Advisory is well-prepared for meetings with relevant documents and briefing notes

Proven PA/EA experience
A solutions-focused approach with a knack for problem-solving
Skilled at building and maintaining strong relationships
Proactive and uses initiative
Excellent communicator with strong influencing and interpersonal skills
Proficient in MS365 applications
Experience on Visa Spend Clarity and FMIS (preferred)

Awhe utu - Salary range
As part of our remuneration framework the full salary range for the position is from $76,359 to $99,922, and our expected starting base salary for the right person is from $76,359 to $84,213. Note: KiwiSaver/SSRSS employer contribution is additional to/on top of your base salary.
