oin our team as a Personal Assistant, providing vital admin support to GMs in Payroll & People Systems and Executive Performance and Reward

The role

To provide effective administrative support to the General Manager Payroll & People Systems, and General Manager Executive Performance and Remuneration.

Positions Accountabilities

Provide support to the Payroll & People Systems and Executive Performance and Remuneration Leadership Teams.
Coordination of meetings, meeting minutes and department actions.
Calendar management, liaising with internal and external stakeholders.
Coordinating board and committee submission timeframes, templates and inputs.
Coordination of team building initiatives for both departments and providing support to the Group People & Culture
Executive Assistant (EA) for division wide initiatives and collaboration with PAs across the People & Culture teams.
Implement, monitor and maintain departmental dashboards, reporting and intranet pages.
Coordination of HR forms and processes, ensuring the timely submission of electronic forms in conjunction with Payroll, HR and Workforce Planning.
Coordination and monitoring progress of IT and facilities requests.
Support to GM’s in the monitoring of departmental cost centre expenditure, ensuring timely processing of expense claims, and credit card reconciliation in line with company policy.
Travel arrangements including accommodation, hire cars, transfers, and chargebacks.

What Experience You’ll Bring

Previous experience in a secretarial / administrative role is desirable.
Proven diary management and organisational skills.
Excellent written, interpersonal, and verbal communication skills, with proven ability to build and maintain relationships across all levels of the organisation.
Strong interpersonal skills and ability to build rapport with others at all levels.
Resourceful and logical thinking with excellent attention to detail.
Enthusiastic self-starter, comfortable working in a fast-paced environment, juggling multiple priorities, and navigating complexity.
Demonstrates initiative and a proactive approach to problem-solving.
Advanced skill level in Google Suite and digital communication tools desirable.
