Defence, Infrastructure & Advisory team
Our Australian Defence Infrastructure & Advisory (DIA) team is a growing Business Line of 300 dedicated professionals. Bringing together our expertise across engineering, systems engineering and project management, our aim is to understand our clients and deliver innovative technical solutions to solve their problems. The Opportunity
Due to our strong business growth, we are seeking the appointment of a Personal Assistant (PA) to provide high level executive, operational and administrative support to the General Manager (GM) and Capability Operations Manager (COM) of the Defence, Infrastructure & Advisory (DIA) business line.
This Sydney based role is central to enabling effective leadership, ensuring the smooth running of the business line. The PA acts as the organising hub for communication, governance, prioritisation, and workflow management, ensuring the GM and COM can focus on strategic and operational leadership.
In this role, you will be the trusted support and advisor to a high-performing GM and COM in a busy leadership team. This is a diverse role where no two days will be the same; the ability to think on your feet using your initiative in an environment that moves fast and changes often is key! We are looking for someone to join us who can:
Use your judgement to proactively optimise how our leaders spend their time, ensuring balance and focus on the most important goals
Be two steps ahead, operating in a 3-6 month planning timescale, proactively managing demanding diaries and schedules internally and externally
Liaise with senior-level internal and external contacts, screening and prioritising incoming communications, dealing with routine issues and coordinating more complex responses ensuring these are delivered in a timely and effective manner
Manage and organise events and meetings, including curating agendas, booking venues, travel, and accommodation
Build strong relationships across teams, the company, and with external stakeholders to help get things done easily and efficiently
Organise and prepare complex documents and presentations to a high standard using office technology and software applications
Collaborate with a strong support team of administrators and business support partners who come together as one team
About you
You are energetic with excellent business acumen and highly developed interpersonal skills where you have liaised with internal staff members and external clients, building strong and lasting relationships at all levels. As an experienced PA, you pride yourself on your organisational and system skills, embracing technology and new ways of doing things. You will be efficient, pay attention to detail, and have a proactive approach to tasks.
Previous experience working in a team environment is essential, along with the ability to manage multiple tasks. Advanced skills in MS Office applications, high-level organisation, and time management skills are crucial along with the ability to understand and learn administrative support requirements within a technical environment are highly desirable.
