Description
The ideal candidate will provide top-level assistance for high level executives & the Director.
Should be well - organized and be comfortable scheduling meetings and responding to emails on Director's behalf.
Devising & sustaining systems to assist director communicate with corporate associates, assist in liaising with timely coordination & regular follow – ups.
Liaising with global supplier base through E-mail communication & daily correspondence on behalf of the Director
Devising systems to manage communication between director, upper management and other team members, liaising with internal and external executives on various projects and tasks with regular follow ups
To organize director’s daily Schedules, appointments & Meetings
To Plan director’s upcoming travel, visas, accommodation, meetings etc. as and when required.
Assist Director in every official situation and stream line things for smooth functioning of the company
Organize & compile various reports & databases for Director for daily review. To be detailed during interview
Continuous background research & data compilation as per director’s training & instructions
Assist colleagues prepare official documents for govt. offices / departments / banks / corporate customers as per Director’s guidance
Day – to- day task list management with utmost preference towards Completion of pending tasks.
To become Primary point of contact for internal and external communication with the Director on all official matters.
Taking charge of tasks with loyalty towards the organization with full responsibility towards completion of the tasks.
Calendar management for the Director.
Draft slides, meeting notes and documents for Top Level Executives.
Excellent verbal and written English communication skills to assist in exchange email exchange with global supplier base.
Bachelor's / Master degree or equivalent experience in *Business Administration*
Diploma / Course form a reputable institute for Office Management & Secretarial Practice
Highly Proficient & Expert in Microsoft Office Suite , Especially MS EXCEL & Google Sheets - Thorough knowledge and expertise in Advanced Excel and Google Sheets (V Look up, Pivot tables for Data Analyzation & reporting, etc.) / Google Sheets, Google Forms)
Good understanding of IT, Personal & Official Record Keeping & Data management, office management & secretarial responsibilities, official communications. Scheduling virtual meetings.
To be Able to take charge of things with the intention to complete daily tasks.
Should be tech savvy & able to use technology to automate correspondence & Follow-ups.
Well-organized, detail-oriented, ability to multi-task with great follow-up skills
