About the Role:

Air Tech Plumbing, Heating & Cooling is seeking a motivated, detail-driven Plumbing Dispatcher who thrives on organization, precision, and juggling moving pieces with confidence and clarity. In this fast-paced and high-accountability role, you’ll be responsible for managing our plumbing schedule, coordinating with technicians, municipalities, suppliers, and customers to ensure every job runs smoothly from start to finish.

Key Responsibilities:

Dispatch & Daily Coordination

Schedule and dispatch plumbing technicians based on skills, priority, and service area

Monitor job progress and technician timelines throughout the day

Coordinate same-day service calls, follow-ups, and emergencies efficiently

Optimize routing and daily schedules to maximize productivity and technician output

Permits, Parts & Municipal Coordination

Pull and close plumbing and gas permits with local municipalities and technical safety authorities

Communicate with municipal offices to ensure permit compliance, inspections, and scheduling

Coordinate with suppliers for plumbing and gas parts—order, track, and manage availability

Assist with sourcing specialty items or time-sensitive equipment to keep jobs on schedule

Administrative Support & Cost Control

Manage department-specific invoicing, job costing, and vendor billing

Track and process warranty claims and register plumbing equipment warranties

Maintain up-to-date and accurate job records in ServiceTitan or related CRM

Support internal job costing, quoting, and invoicing for the plumbing department

Customer Service & Communication

Be the friendly and professional point of contact for customers via phone, email, or text

Schedule plumbing calls, inspections, and estimates with empathy and clarity

Update customers on technician ETAs, follow-ups, and job status

Send estimates, confirmations, and invoices with accuracy and professionalism

Support plumbing memberships, renewal scheduling, and satisfaction follow-up

Qualifications:

2+ years of dispatch, service coordination, or operations experience (plumbing or trades strongly preferred)

Deep attention to detail and pride in getting things done right the first time

Strong multitasking and problem-solving skills under pressure

Professional communication style—written, verbal, and interpersonal

Familiar with Microsoft Office (Outlook, Word, Excel); experience with ServiceTitan is a strong asset

Confident working independently and coordinating across multiple departments

Experience with permits, supplier management, or job costing is a major plus

Pay: $1+.00-$24.00 per hour

Expected hours: No less than 40 per week
