Summary:
PMO - Administration Support
• The role supports the Transformation Office / Program Management Office (PMO) of a large strategic program with approximately 600 staff spread across multiple regions globally.
• The role is US based and ideally in person, ~3 days a week in the downtown Atlanta office. This person will work in direct proximity to the PMO and TO leadership, who will be available for guidance and direction.
Expectations of the Role:
• A successful candidate will be organized, promptly address tasks with attention to detail, diligent and precise in language and communication, and will exercise additional effort to ensure that nothing was missed or left unattended. The position will require good knowledge of Microsoft Outlook, Teams, PowerPoint
• While the initial onboarding may require considerable oversight, the intention is for this candidate to operate independently and enable the PMO team to prioritize discretionary interaction with the broader program. There is also an expectation for the candidate, such as time is available to document and proceduralize the work that they do and suggest ways to either improve efficiency or efficacy.
Example Responsibilities:
• Administer a shared mailbox and calendar(s), including requests for standard documentation, updating calendars, creating sharing and modifying calendar invitations.
• Administer requests for a Teams site and Box folders, including requests for document access, organizing files and folders as directed.
• Raise tickets and follow through on Onboarding tasks, including creating roles and filling them in Workday, liaising with HR service centers
• Attend meetings in order to record them or produce minutes where required
• Based on direction from PMO and TO leaders, field emails and requests related to standard calendar invitations, meetings, or other subjects that may require coordination
• Facilitate standardized requests for travel or other expenses, ensuring that requests are fully filled out, and routed to PMO to TO leadership ready for approval.
• Keep a record of actions or requests that may require attention or decisions by the PMO team. Coordinate internal PMO and TO communications.
• Work with teams to support coordination of logistics for workshop meetings
• Independently track ongoing requests for information, e.g. inputs into a workshop or forum, and remind people to respond at regular intervals.
