About The role

We are seeking a dedicated and proactive PMO Coordinator to join our Business Planning and Improvement team. Reporting to the Manager - Business Systems & Assurance, the PMO Coordinator plays a pivotal role in establishing a robust and efficient Project Management Office (PMO) to support successful project outcomes across WAPHA.

This role is pivotal in ensuring that WAPHA's projects are managed effectively, contributing to the WAPHA's mission of delivering better health outcomes across Western Australia.

This role will be offered as an on-going position on a full-time basis and offers the flexibility to work from home and office.

Key tasks and responsibilities:

Oversee the transition of project governance, reporting, and PMO standards from other teams.
Collaborate with the Project Delivery & Change Management team to develop efficient systems for managing project documentation and establishing consistent PMO practices.
Train staff on PMO processes and standards, ensuring effective knowledge transfer within the team.
Manage PMO team meetings, facilitating effective communication within the PMO and with project teams.
Assist Project Managers with administrative tasks throughout the project lifecycle.
Consolidate and prepare standardised reports based on project team data.
Maintain the Project Repository as a central hub for knowledge resources.
Establish and manage a system for gathering feedback from project teams and identify areas for PMO process improvements.
Develop and maintain an accurate and up-to-date project portfolio.
Conduct regular portfolio reviews to assess project health and identify potential risks.
Prepare and distribute project portfolio performance reports to relevant stakeholders.
About you

To be considered for this role, candidates must meet the following selection criteria:

Essential experience and education

Minimum 2-3 years of experience in a PMO or project support role.
Proven ability to provide administrative and operational support to project teams and the PMO.
Strong relationship-building skills with project teams, stakeholders, and senior management.
Experience managing and organising project documentation, preparing reports, and utilising data for decision-making.
Experience with JIRA for project management and task tracking.
Preferred knowledge and skills

Understanding of project management frameworks and methodologies.
Basic knowledge of change management principles.
Strong attention to detail and effective time management skills.
Excellent written and verbal communication skills.
Proficiency in project management software and collaboration tools.
