About the Role
PlaySpace Paediatric Therapy is seeking a proactive and highly organised Practice Manager to join our vibrant and growing team! This is a remote, casual position with flexible hours (Monday–Friday), ideal for someone who thrives in an autonomous, fast-paced environment and is passionate about supporting a paediatric therapy service that makes a real difference.
What We’re Looking For:
Previous experience in medical administration is essential (NDIS experience highly regarded)
Strong understanding of Paediatric Occupational Therapy and the NDIS framework
A fully equipped home office setup suitable for remote work
Availability required Monday to Friday, with approximately 10–25 hours per week spread across a mix of morning and afternoon shifts.
Excellent time management, organization, and attention to detail
Confident working independently and managing competing priorities
Quick to learn, with a positive, can-do attitude
Strong tech skills and confidence learning & navigating various digital systems
Reliable, trustworthy, and committed to maintaining confidentiality
A solution-focused mindset with a willingness to adapt and grow with the team
Roles and Responsibilities
Accounts & Finance Administration:
- Manage invoicing, payroll, and Xero (accounts payable and receivable)
- Track payments, reconcile accounts, and liaise with NDIS plan managers and funding bodies
Client Administration:
- Manage and maintain client records, including personal information, service agreements, and documentation audits
- Onboard new clients, respond to enquiries (phone and email), and schedule appointments
- Ensure a smooth and professional client journey from enquiry to discharge
Practitioner Support & Scheduling:
- Coordinate scheduling of appointments for multiple clinicians
- Provide ongoing administrative support to therapists to enable best-practice service delivery
- Order and manage clinic and therapy resources and supplies
Business Operations & Support:
- Work closely with the Director to ensure smooth day-to-day operations
- Assist with creation and preparation of documents, reports, and business correspondence
- Maintain a high level of confidentiality, managing sensitive client and business information with care
Stakeholder Communication:
- Liaise and communicate effectively with clients, families, GPs, allied health professionals, NDIS providers, insurance companies, and other stakeholders
Marketing & Social Media:
- Create and post engaging content for social media and assist with other basic marketing tasks
Quality & Process Improvement:
- Identify and implement opportunities to improve administrative systems, workflows, and client experience
