Days and Hours: Monday to Friday with occasional weekends, +am to 5pm however flexibility is essential and there is the opportunity to take time back when the principal travels.
Job Summary:
Busy UHNW professional looking for a London private EA/PA/ occasional driver.
This is an in person (not virtual) role providing assistance with principal’s day to day requirements, carrying out tasks ranging from researching and booking travel, picking up shopping, laundry and gifts, managing properties, making sure the principals London apartment is in good order, keeping an eye on cleaners etc.
Ability and confidence to drive in London and out is necessary. This is not a full time driver role but the principal will need to be driven occasionally both in and out of London.
Hours are indicative +-5 but are not fixed and you will be expected to respond “out of hours” if required. When the principal is in London there might be more to do but time can usually be caught up when he is away ( which is roughly 50% of the time). You’ll have excellent spoken and written English, be able to manage your own time, keep records of what is going on and keep on top of projects and report back to the principal with updates and or questions in a clear and time efficient way. Spanish language is a bonus.
Duties:
• Book restaurants and make appointments.
• Manage private diary and anticipate his needs so that the day runs smoothly.
• Organise contractors.
• Deal with incoming mail and deliveries and coordinate the pick-up and delivery of mail and couriers.
• Carry out household and personal shopping.
• Run errands.
• Drive him on airport runs.
• Assist principal with research and organisation with various lifestyle projects.
• Present buying for family members.
• Book holiday flights and hotels. Work out travel itinerary and flight check-in (even when out of office hours).
• Pack and unpack suitcases and wardrobe management.
• Assist with organising medical appointments and healthcare.
Candidate requirements:
• The ideal candidate needs to have experience in a similar role, be punctual, articulate with a good level of English; written and spoken, and be confident on the telephone and using emails and computers.
• You must be well organised and presented.
• You must be able to organise the principal and keep them in the loop without being obtrusive. An innate ability to "read the room" is essential.
• It is essential that you can use your initiative to get on with tasks without being asked and are confident to take on delegated tasks by yourself, not giving up easily when barriers are put in the way. The principal expects things to get done unless they're impossible, and if so to be informed in good time of that fact.
• You will need to be service orientated and thoughtful, for example ensure that there is milk in the fridge for when the principal returns from his travels. A high level of service is expected at all times.
