It does this by supporting lifelong learning and healthy development, strengthening families and helping to equip people with the skills and knowledge for a 21st century economy and society.

About the Victorian School Building Authority

The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the state introduced free public education in the 1870s.

The VSBA upgrades and expands existing schools and plans, designs and builds new schools to meet enrolment demand. We also support schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants.

With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early childhood sector on a massive kindergarten construction program.

About the Division

Asset Management Division

The Asset Management Division is responsible for setting VSBA's strategic asset direction, developing and implementing programs that address accessibility, inclusion and accommodation initiatives, and building school capability and capacity to manage assets.

The Maintenance Delivery Branch oversees maintenance projects, encompassing planned maintenance, as well as the upkeep of hydraulic fire safety systems and shelter-in-place facilities and other programs. Additionally, it ensures that secondary school campuses are equipped with suitable facilities to accommodate mental health practitioners, aligning with the government's commitment for this program.

About the Role

This is a fixed term full time role until 30 June 2028.

This role is located in the Commercial and Programs Unit; Maintenance Delivery Branch; Asset Management Division; Victorian School Building Authority (VSBA).

The key responsibilities of this role are to:

Management of contract securities
Demonstrate and promote departmental values in day-to-day work
Support procurement processes, including documentation, compliance checks, and data entry
Assist in preparing and maintaining contract registers, compliance records, and audit documentation
Contribute to the resolution of basic procurement queries and escalate complex matters where appropriate
Support the monitoring of contractor performance and the collection of performance data
Assist in the collation and preparation of reports for spend analysis, performance monitoring, or business insights
Maintain effective working relationships with internal teams and support liaison with external stakeholders (e.g., probity advisers, ICN, DTF) under supervision
Respond to internal stakeholder queries and support the development of business improvement processes
Contribute to team projects and provide administrative and operational support as needed

Attributes

The Procurement Advisor works collaboratively and is a team player with strong interpersonal skills who can demonstrate experience in:

Supporting procurement and contract management activities within the public sector, ideally with exposure to construction or capital works projects
Understanding or working knowledge of PDCMA and associated public sector procurement standards and policies
Strong written and verbal communication skills, with an ability to draft reports, briefings, and engage with stakeholders professionally
High level of attention to detail and a methodical approach to task execution
Good problem-solving and analytical thinking abilities, with a proactive and supportive mindset
Competence in managing and interpreting data to support reporting or analysis tasks
Desirable Qualifications and Experience

Required:

1-3 years' experience in either procurement, contract administration, project support, or a related role.
Strong customer service and communication skills both written and verbal
Desirable:

Familiarity with the administrative fields or similar public sector environments, and an understanding of public sector governance processes.
Flexible Work Expectations:

For full-time employees, the Department expects 3 days per week in the office, in line with the VPS Agreement 2024. This role follows those same operational requirements: 3 in-office days, 2 remote (if full-time).
