Product Team Coordinator/ Office Manager

Job Description

A Little About Us:

Since launching the world’s first portable wood-pellet pizza oven in 2012, Ooni has grown into an award-winning, multinational company with a product range loved by pizza makers all over the globe. Our mission has always been to design innovative products that spark joy in our customers, and whilst we’re incredibly proud of what we’ve accomplished so far - we’re only just getting started.

A Little About the Role:

We’re on the lookout for an organisation-superhero to work super closely with our Operations and Product Delivery teams based out of our product hub in Broxburn, Scotland. This is a busy role with loads of variety but broadly covers a mixture of office management, project management, team wellbeing and engagement, PA support and comms planning. You can probably add “Pizzaiolo” to that list too, but don’t worry if you aren’t a top chef yet - you’ll be in the best place to learn! You’ll work alongside our Operations leadership team and COO to ensure our team have everything they need to deliver trailblazing products.

This is an on-site role, 4 days a week in our Office in Broxburn, Scotland.

What you’ll do:
• Get stuck in with coordinating cross functional projects across the Operations team - ensuring effective communication and collaboration across different departments
• Coordinate the weekly, monthly and quarterly cadences of meetings, huddles and project updates to get the right people in the know about the right things
• Act as Office Manager for our product hub space - taking care of consumables ordering (it’s mainly flour and coffee), ensuring our workspaces run smoothly and supporting our Health, Safety & Facilities Manager with checks, risk assessments and controls as required
• Keep a close eye on inbound and outbound travel across the team - we work with suppliers across Asia and making sure that visits in both directions are productive and well-organised is really important
• Coordinate events across the team as required - from big supplier visits and product reviews through to team get togethers and engagement opportunities
• Provide some PA support to our COO - in particular helping manage her absolutely terrifying calendar and ensuring follow ups, meeting notes and actions and comms are all taken care of.

What you’ll need to succeed:
• Stellar organisational skills
• Great communication - written and verbal and a strong awareness of cultural adaptation when working with international partners
• A “fixer” mindset - if you see a problem your first instinct is to solve it
• Discretion and sensitivity - you’re going to be helping deliver highly confidential products and projects and you really understand the importance of confidentiality to do so

You’ll get bonus points if:
• You have Project Management / PA / Office Manager experience
• You have experience working with business partners in China
• You read this job description thoroughly enough to spot that we’d love you to make a Sesame Street reference in your cover letter.

Why Ooni:

When you join one of our global teams, you’re joining a dedicated group of do-ers who value Kindness, Passion, Innovation, Ambition and Rigor above all else. We live, work and play by these values and are proud of what we’ve built here. As a member of our team, you will also receive the following:
• Work for an employer that cares about your well-being! We’ve got private healthcare through Bupa as well as access to on-demand coaching and therapy sessions via BetterHelp
• £500 to spend on Ooni products each year, plus 50% discount on any other Ooni products.
• £500 every year to spend on your passion – whatever that may be.
• 35 days of paid time off per year, plus an additional 5 week sabbatical when you’ve been here for 5 years.
• Access to an employee assistance programme which includes on demand coaching.
• We believe in giving back to our communities, which is why we offer every team member five paid volunteer days each year to support causes they care about.

Having a fantastic culture is really important to all of us at Ooni. We work hard to make it diverse and inclusive, and want everyone to have access to the same opportunities.
