Your Role:

As an Entry Level Assistant Event Coordinator, you'll be an integral part of our team, making retail events come alive in a way that resonates with today's generation.

Entry Level Assistant Event Coordinator Key Responsibilities:
• Quickly apply sales and marketing techniques to promote client information
• Comfortable presenting in-office group settings as well as one-on-one at events
• Ability to build strong rapport with current clients and potential customers
• Maintain current relationships with clients by reaching brand exposure goals
• Actively seek to establish new pipelines of business by learning demographics
• Ability to coach, train, and develop others for the overall success of the team
• Comfortable working hands-on to set up and organize event equipment
• Above average math skills to track and record all inventory for multiple events

Entry Level Assistant Event Coordinator Qualifications:
• Previous sales experience is helpful but not required
• Experience in customer service and/or hospitality can be useful
• Must have a positive attitude to achieve goals
• Preemptive, problem-solving abilities are needed
• Must be able to quickly problem-solve to provide real-time solutions

This position requires daily travel to our office and events.

This person provides critical logistical and project management leadership for all foundation programs and events, and supervises a part time Volunteer Coordinator. They should be exceptionally detail oriented and thrive in a fast-paced, mission-driven small office environment where juggling multiple projects simultaneously under tight deadlines is the norm. This full-time position offers a great opportunity for a highly-motivated, self-managed individual who is passionate about public education, equity, and HSF’s mission and growth.

Responsibilities

Program and Events Coordination (70%)
• Oversee logistics and create systems for effective management of HSF’s four fundraising events annually: Gold Star Breakfast, SEA Golf Tournament, Burien Brat Trot, and Winter Warm Up.
• Oversee logistics and create systems for effective management of HSF’s primary programs: Basic Needs Support, School Supplies, Excel and Impact Grants, Gold Star Awards, Scholarships.
• Assist with planning and implementing end-of-year campaign, including creating donor segments and appeal content.
• Ensure event revenue goals are met or exceeded.
• Process all guest registrations and assist with seating.
• Work with Executive Director to negotiate vendor contracts for events.
• Help coordinate event collateral.
• Assist with other HSF donor and community events and activities.
• Coordinate in-kind gift acquisition and stewardship

Donor Database Administration (10%)
• Develop familiarity with our database and manage donor tools used for event registration, auction implementation, donor tracking and solicitation.
• Create reports, queries, mailing lists and other database outputs in support of fund development and program activities.

Volunteer Management (10%)
• Supervise our part-time Volunteer Coordinator and work with them to ensure HSF has adequate volunteer support for program and event implementation.
• Support our part-time Volunteer Coordinator in developing volunteer recruitment and recognition programs

Communications (5%)
• Support HSF’s brand by reviewing, writing, editing, and approving key external facing guidelines
• Help identify and secure new media partners to promote HSF events
• Support HSF event marketing communication including pre-event promotion, day of show, and post event
• Gather and share information on the impact of HSF work

Other Duties (5%)
• Provide administrative support for Board of Trustees
• Undertake other duties assigned to meet revenue and program goals

Required Skills and Experience

Education: Project management and non-profit fundraising and program work experience required.

Experience: Three or more years work in a non-profit environment. Experience planning successful fundraising or community events and managing people and relationships with a focus on customer service and diplomacy. Experience with database systems required. Ability to speak and write in Spanish highly desired.

Skills:
• Proven ability to support staff team and participate in organizational activities while executing daily assigned tasks. Ability to work both independently and as part of a team. Passion for public education and equity expected.
• Strong organizational and time management skills. Ability to prioritize and manage multiple tasks to meet competing deadlines.
• Exceptional relationship and customer service skills. Confidence and diplomacy to interact and collaborate with the team and all constituents.
• Competency with computer software including Microsoft Office Suite and a client relationship manager database. Adobe Creative Suite experience including basic graphic design using Illustrator and/or Photoshop preferred.
• Excellent written, oral, presentation, and professional skills
• Flexibility with regards to work assignments and responsive to changing priorities
• Ability to see change as an opportunity rather than an obstacle

Working Conditions: Must pass criminal background check. Must have valid driver’s license and dedicated transportation available for meetings and duties. Ability to lift and carry up to 30 pounds as job requires loading and unloading supplies for events and other activities. Some evening and weekend hours required. Based at Highline Schools Foundation’s Burien office with some flexibility for hybrid work
