Job Description

Join the Department of Surgery as a Program Manager located at LBJ Hospital. This role will have a direct impact by partnering with Urology and Plastic Surgery faculty. The ideal candidate will be proficient in EHR systems, have excellent verbal and communication skills, be able to muti-task and adapt to short notice changes, and be bilingual in Spanish.

This role is onsite, sitting at LBJ, and will sit in a clinic setting. Free parking!

Position Summary:

The Program Manager provides the following: Standardization of workflows to reduce denials Accountability for financial clearance prior to procedures By strengthening pre-service financial processes, the role protects and enhances the patient financial experience. This position also provides dedicated leadership for scheduling and insurance verification to assure that the Operating Rooms are being utilized at full capacity by monitoring scheduling, reaching out to patients scheduled for surgery and if, for any reason, the scheduled surgery is not going to take place, the Program Manager makes every effort to schedule another surgery which enhances patient care and does not allow for wasted Operating Room time. This also minimizes the long waiting lists for patients needing surgery. The Program Manager position is essential to managing the complexity, financial impact, and regulatory sensitivity of surgery scheduling, insurance verification, and associated clinical operations. Centralized leadership improves operational efficiency, strengthens revenue integrity, enhances patient experience, ensures compliance, and supports sustainable organizational growth.

Position Key Accountabilities:
• Confirm all patients have been cleared by business office, case management, preop anesthesia, and have provided urine cultures as needed.
• Ensure all patients that are required to have urine cultures at least 2 weeks prior to surgery and are prescribed antibiotics as needed
• Get the case order and start time of availability of the 1st case from chief resident or faculty for next day OR by 10am the day prior.
• Provide surgery dates to residents, faculty when requested.
• Maintain a log of each surgery on a daily basis and send document to necessary personnel at the end of the month.
• Reschedule surgery dates and necessary appointments and notify patients when rescheduling per faculty or chief residents request.
• If the patient falls off the schedule for any reason, I must replace another patient and ensure Chief Resident is informed of the change.
• Ensure to release block time with faculty is not available at least 5 days prior.
• Confirm all state sterilization consent and surgery consent has been completed correctly.
• Ensure all patients that has completed surgery have post op appointments.
• Tuesdays and Thursday attend clinic makes it easier on myself and staff.
• Ensure all required patients that need IR prior to surgery have an appointment with IR and confirm procedure.
• Provide a detailed patient information to research staff of surgery date, and faculty.
• Provide surgery schedule in advance to required staff.

1. Oversees all aspects of the program activities. Sets deadlines, assigns responsibilities, and monitors project progress. Develops, implements, and manages policies and procedures.

2. May manage/maintain annual budget, negotiate service contracts, report on progress and/or authorize expenditures.

3. Informs upper management of key activities and makes periodic progress reports.

4. Works closely with internal departments regarding strategy and collaborative opportunities.

5. May assist in the preparation of progress reports and grant proposals to both private foundations and governmental agencies.

6. Interacts with representatives from state, federal, and private agencies regarding proposals and funded projects.

7. Working in conjunction with Public Affairs, may create and edit various communications materials for the department/program, which may include printed materials, web site content and/or department newsletters.

8. Communicates with community and professionals to share objectives and outcomes. Prepares/makes oral presentations at professional meetings.

9. May manage Human Resources activities for direct report in regards to: recruiting and selection, hiring and terminating, training and development, performance evaluations, and salary planning.

10. Other duties as assigned.

Certification/Skills:
• Certifications specific to the program required

Minimum Education:

Bachelor’s degree or relevant work experience in lieu of education.

Minimum Experience:

Five (5) years of applicable experience.

Physical Requirements:

Exerts up to 20 pounds of force occasionally and/or up to 10 pounds frequently and/or a negligible amount constantly to move objects.

This position is a security-sensitive position pursuant to Texas Education Code §51.215 and Texas Government Code §411.094. To the extent that a position requires the holder to research, work on, or have access to critical infrastructure as defined in Texas Business and Commerce Code §117.001(2), the ability to maintain the security or integrity of the infrastructure is a minimum qualification to be hired for and to continue to be employed in that position. Personnel in such positions, and similarly situated state contractors, will be routinely reviewed to determine whether things such as criminal history or continuous connections to the government or political apparatus of a foreign adversary might prevent the applicant, employee, or contractor from being able to maintain the security or integrity of the infrastructure. A foreign adversary is a nation listed in 15 C.F.R. §791.4.

Residency Requirement:

Employees must permanently reside and work in the State of Texas.
