Temporary full-time opportunity till 30 June 2026 with the possibility for extension or conversion to ongoing, 35 hrs/week
Located in Parramatta - flexible working supported
Salary relative to experience, and ranges from $ 82,15+ to $+1,610 + super and annual leave loading (Environment Officer Class 4)




About the role

The Department of Climate Change, Energy, the Environment and Water is looking to appoint a Program Support Officer to provide high-quality program support services to the Grants Branch and facilitate effective program outcomes. This role plays a pivotal part in the receipt and processing of grant documentation and payments, and the management of information into and out of the Coastal and Estuary Grants mailbox.



Key Accountabilities

Deliver high-quality program support services to the Coast and Estuary Grants area including monitoring items requiring review and response; collation and drafting of correspondence; formatting of grants program documentation; financial administration support; and receiving, sorting and prioritising incoming correspondence.
Support effective program expenditure by processing grant payments to ensure the effective operation of the team is met.
Respond to grants-related enquiries, providing general information and where necessary refer enquiries to the appropriate Grants Administrator to facilitate prompt action.
Support effective grant programming by reminding grantees to complete progress, milestone and final reports for current grants programs, and following up on overdue grant reports.
Implement systems that optimise efficiency, and effectively manage and maintain accurate grants program information including data entry, records management and reporting. Ensure information is stored in accordance with Open Government principles.
Provide professional and timely logistical support to meetings, committees, working parties, workshops, information sessions and forums including inviting participants, arranging venues, travel arrangements, collation of materials for presentation, circulation of agendas and minutes, and the taking of minutes during meetings.
Develop and maintain cooperative and productive working relationships with key internal and external stakeholders to facilitate communication and information sharing and to direct enquiries.


About you

To be successful in the role, you will have:

Experience working in a program support role in a complex government grants program or similar program environment.
Demonstrated understanding of issues pertinent to managing large grant schemes.
Demonstrated stakeholder engagement, communication and relationship-building experience.
Demonstrated program coordination experience including well-developed time management and organisational skills with a proven ability to manage a high volume workload, prioritise work and meet strict timelines with attention to detail.
Demonstrated ability to exercise sound judgement and initiative when working with minimal supervision and to work effectively as part of a team.
