· KEEP UP-TO-DATE SUPPLIERS & AGENCIES DATA BASE. COORDINATE INFORMATION AND REFRESHMENT WITH TEAM
· SCHEDULE MEETINGS INSIDE AND OUTSIDE THE OFFICE: PREPARE ANY DOCUMENTATION WHICH MAY BE REQUIRED AND DEAL WITH NECESSARY CATERING OR OTHER PRACTICAL ARRANGEMENTS
· ASSISTING WITH THE ORGANIZATION OF TEAM MEETINGS AND OTHER AD HOC TEAM/COMPANY EVENTS.
· WHEN TEAM MEMBERS ARE UNAVAILABLE, ACT AS FIRST POINT OF CONTACT FOR REQUESTS AND QUERIES, MAINTAINING THE APPROPRIATE LEVEL OF CONFIDENTIALITY
· OPEN AND DISTRIBUTE INCOMING MAIL, SCREEN TELEPHONE CALLS AND TYPE AND PROOF CORRESPONDENCE
· ORGANIZE TRAVEL FOR TEAM MEMBERS MANAGING AGENDAS, FLIGHT/TRANSFER ORGANIZATION AND HOTEL BOOKING. SUGGEST MOST APPROPRIATE FARES AVAILABLE, ACCORDING TO TCCC POLICIES
· AD HOC PROJECT WORK AND OTHER TASKS, AS REQUIRED
· LIAISE WITH THE FINANCE DEPARTMENT TO SOLVE ANY BUDGET/ACCOUNTING ISSUES WHICH MAY ARISE IN THE EXPENSES ADMINISTRATION PROCESSES.
· ENSURE TIMELY ISSUE OF PO AND CONTROL THE PROCESS IN SAP UNTIL THE FINAL CLOSING, ACCORDING TO TCCC PROCEDURES.
· FORGE GOOD WORKING RELATIONS WITH OTHER AMINISTRATIVE STAFF ACROSS CPS, BIG AND SUPPLIERS
• Project Team: daily team working
• CPS India LT: participating at the WBS Tactical Implementation Plan and also ad-hoc meetings for specific subjects
• Other Administrative staff across CPS, BIG, OU and Suppliers: supporting Project’s needs

Work is reviewed for soundness of judgment and accuracy
