Job Description

Full job description
About the Department
The role of the Department of Education is to support Victorians to build prosperous, socially engaged, happy, and healthy lives. It does this by supporting lifelong learning and healthy development, strengthening families, and helping to equip people with the skills and knowledge for a 21st-century economy and society.
About the Victorian School Building Authority
The Victorian School Building Authority (VSBA) is part of the Department of Education. Established in 2016, it oversees Victoria's largest school building program since the State introduced free public education in the 1870s.
The VSBA upgrades and expands existing schools and plans, designs, and builds new schools to meet enrolment demand. Is also supports schools to maintain their buildings and grounds by offering expert advice and coordinating maintenance programs and grants.
With Victoria recently introducing two years of funded kindergarten, the VSBA is also working with the early-childhood sector on a considerable kindergarten construction program.
About the Division
The VSBA's Asset Management Division supports the effective management of school assets through condition assessments, tools for school maintenance planning, by providing training and advice to school leaders, supporting asset information systems, delivering centralised programs for high-risk areas, implementing reform projects to strengthen the system, and implementing initiatives to improve the environmental sustainability of schools.
About the Branch
The Asset Management Branch supports the effective management of school assets under the shared responsibility model. The Branch seeks to ensure that all responsible parties are equipped with the information, tools, and capability to effectively manage school assets, as well as implementing asset management reform initiatives that will enhance the asset management system under which we operate.
About the Business Unit
The School Maintenance Plans Unit manages and implements the School Maintenance Plan (SMP) program and oversees school-led Planned Maintenance Program (PMP) projects. SMPs are 5-year plans that support schools to: address condition-based defects identified in their condition assessments; schedule, undertake, and record routine-maintenance activities; and record and manage any asset hazards unique to specific school sites. Using their SMPs, schools can budget, schedule, and manage the maintenance of their buildings and grounds. Since some schools are directly allocated budget under the PMP to address condition-based defects, the team provides support/advice to schools and reports on the status/completion of school-led PMP projects.
Role purpose
This is a fixed-term role until 30/06/2026.
Key responsibilities of this role include: providing one-on-one support to schools during the development of their SMPs; providing one-on-one support to schools to update their SMPs; coordinating and managing responses to stakeholder enquiries (for instance, requests for information on school-led PMP projects and SMP-related questions); developing communications collateral and supporting resources (including policy documents, fact sheets, and FAQs); responding to requests for information from the Minister's Office and VSBA Executive team (including the development of briefings, correspondence, and parliamentary collateral); providing administrative support for programs and projects; and supporting the Branch in other ways, as required. The role also includes a high degree of stakeholder engagement with the VSBA Executive Team, Business Unit Managers, and Divisions across the Department. The successful candidate will be someone who can assist in the development of effective decision support tools such as reports, analysis, and insights in the VSBA.
Customer Service expectations
All VSBA staff have a shared responsibility to meet the same service standards outlined in the VSBA Customer Service Charter. Our goal is to make every interaction with the VSBA a positive one for our customers, colleagues, and key partners regardless of our individual role or team.
