Job Summary

The Property Operations Assistant supports the property management and leasing teams with day-to-day office operations, tenant communications, and field coordination. This role is ideal for someone organized, proactive, and comfortable handling a variety of tasks, from assisting with apartment showings to posting notices and maintaining office systems. The ideal candidate will be a self-starter who anticipates what needs to be done and takes initiative to get it done.

Key Responsibilities

Tenant Relations & Customer Service

Assist in responding to tenant inquiries and maintenance requests.
Support the Leasing and Property Management teams in scheduling and conducting showings.
Post and deliver tenant notices as needed.
Maintain professional and friendly communication with tenants and vendors.
Provide excellent customer service and follow up to ensure tenant satisfaction.
Collaborate with the Leasing Manager to ensure consistent branding and messaging.
Office Support & Organization

Assist with administrative tasks including filing, data entry, and document preparation.
Keep property management software and spreadsheets up to date (AppFolio experience a plus).
Maintain office organization—supplies, forms, and communication systems.
Help coordinate vendor appointments, maintenance requests, and service orders.
Support team members with project tracking and task follow-ups.
Operations & Coordination

Coordinate with maintenance staff to ensure service requests are completed in a timely manner.
Prepare move-in/move-out checklists and assist with unit readiness.
Post and record property-related notices and documentation.
Assist with scheduling, listings, and showings of available units.
Qualifications

Must haves

Strong communication, organization, and problem-solving skills.
Self-starter who can anticipate needs and take initiative.
Ability to handle multiple priorities in a fast-paced environment.
Valid driver’s license and reliable transportation.
Ability to work weekends as needed.
Tech-savvy
Preferred

1–2 years of experience in property management or leasing, or customer service
Familiarity with AppFolio or similar property management software
Bilingual – Spanish
Knowledge of social media marketing.

Work Environment

Combination of office and field-based work.
Local travel to properties as needed.
40 hours per week, including occasional Saturdays and Sundays if needed (weekly schedule to be determined)
Hourly Rate: $20–$24/hour, commensurate with experience.
