Job Description
We provide professional estimating and takeoff services for commercial construction projects across the United States. Our team supports general contractors, subcontractors, and suppliers with accurate and timely quantity surveys and cost estimates so they can bid with confidence. We focus on precision, speed, and clear communication in every project we handle.
The Role
We seek a reliable and organized Executive Assistant to support senior leadership and help manage daily operations. You will play a key role in keeping schedules, communication, and internal processes on track. Your work will help the team stay focused on delivering accurate estimates and strong client service.
What You Will Do
You will manage calendars, schedule meetings, and coordinate calls across different time zones. You will handle email communication, draft responses, and follow up on key tasks. You will prepare reports, presentations, and basic documents as needed. You will organize project files and maintain accurate records. You will support proposal submissions and help track deadlines for bids and client deliverables. You will assist with invoicing, expense tracking, and basic administrative tasks. You will act as a point of contact between leadership, clients, and internal team members.
What We Look For
You should have at least two to four years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role. You must show strong organizational skills and manage multiple priorities without missing deadlines. You should communicate clearly in written and spoken English. You must be comfortable using tools such as Microsoft Office, Google Workspace, and spreadsheets. Experience with construction, estimating, or professional services firms is preferred but not required. You should be proactive, detail focused, and able to work with minimal supervision.
Nice to Have
Experience supporting remote teams across the United States. Basic knowledge of construction terminology. Strong document formatting and presentation skills.
