Job Description
ROLE OVERVIEW:
Manage the full lifecycle of real estate transactions, focusing on the timely and accurate delivery of documentation to all third parties. This role requires the proactive management of deadlines, effective handling of client inquiries, and the comprehensive oversight of all back-end transaction processes.
DUTIES & RESPONSIBILITIES:
Transaction Management & Compliance:
Process deals, including the review of trade record sheets and securing necessary approvals.
Follow up on commission payments and outstanding paperwork.
Monitor and manage transaction deadlines, providing timely notices to relevant parties.
Ensure compliance with industry regulations, including TRESA 2002, RECO, Real Estate Board rules, and FINTRAC requirements.
Agent & Brokerage Administration:
Handle agent closings and payroll processing.
Manage agent correspondence and email communications.
Assist with brokerage and agent onboarding processes.
Maintain franchise fee reporting.
Administer training sessions for administrative staff.
System & Process Improvement:
Develop and implement tracking systems to ensure all tasks are completed efficiently.
Create internal tools and streamline processes to enhance operational efficiency.
Participate in relevant training to continually improve real estate administrative expertise.
General Administration:
Execute other administrative tasks as assigned by the Director of Operations.
REQUIRED SKILLS & COMPETENCIES:
Communication: Excellent written and verbal communication skills.
Client Service: Strong customer service skills with a demonstrated ability to build relationships with both internal and external clients.
Professionalism: High level of professionalism, discretion, and ability to maintain confidentiality.
Organization & Detail: Meticulous attention to detail and superior organizational skills. Ability to manage workload effectively to deliver high-quality outputs on time.

QUALIFICATIONS:
Minimum 3 years of previous administrative experience in a real estate brokerage setting, with a deep understanding of brokerage operations, conveyancing, and accountabilities.
Minimum 5 years of experience with Back Office software (e.g., Lone Wolf Accounting Software) is required, including:
Comprehensive understanding of database configuration (preferred but not required), including agent setup and agent/brokerage fee compensation plan structures.
Prior experience working with an electronic document management (EDM) system.
Proficiency in MS Office Suite (Word and Excel) and Google Suite of Tools.

Pay: $50,000.00-$53,000.00 per year
