CBRE Québec est actuellement à la recherche d’une personne proactive et collaborative pour offrir un soutien administratif à notre bureau à Québec. La personne recherchée devra notamment gérer la console téléphonique, c'est-à-dire répondre aux appels, les filtrer et les faire suivre à la personne appropriée. Elle devra aussi accueillir nos clients et visiteurs ainsi qu’offrir un support administratif aux courtiers du bureau. Ceci est un poste temps-plein et entièrement au bureau.

Responsabilités

Répondre aux appels et les transférer ensuite à la personne adéquate ou à sa boite vocale.
Gestion du courrier – remettre aux destinataires ou organiser les coursiers.
Garder l’ordre et la propreté à la réception, dans les salles de conférence et dans la cuisine, ce qui comprend le nettoyage du comptoir et tables, des appareils ménagers et la gestion du lave-vaisselle sur une base quotidienne.
Prendre en charge le système de réservation des salles de réunion. Assister pour la mise en place des systèmes audiovisuels. Aider à l’organisation de réunions avec clients externes.
Accueillir et faire l’annonce de l’arrivée de clients, candidats et visiteurs. Créer des identifiants pour les autoriser à utiliser le réseau Wi-Fi de la société.
Procéder aux commandes de fournitures de bureau et de cuisine, par exemple : papier, cartouches d’encre; café, lait etc.
Coordonner les événements avec nos fournisseurs.
Coordonner l’agenda et les rendez-vous des courtiers.
Créer des rapports de dépenses pour les courtiers.
Recueillir les documents requis pour remplir les formulaires de facturation et traiter le paiement des commissions des courtiers.
D’autres tâches pourraient s’ajouter.

Nos exigences

Formation de niveau collégial complétée.
Excellente maîtrise du français et de l’anglais parlé et écrit (grammaire, orthographe, ponctuation, syntaxe, etc.)
Être en mesure d’écrire de la correspondance de routine en français et en anglais ainsi que répondre aux demandes courantes de clients, collègues et/ou superviseurs.
Connaissances intermédiaires de la suite Microsoft Office.
Capable d’être efficace, rapide et fiable dans un environnement de travail d’équipe;
Capable de travailler dans des délais serrés et à redéfinir les priorités pour répondre aux nouveaux projets / demandes;
Sait travailler avec un minimum de supervision.

Position Overview

CBRE Quebec is actively seeking a proactive and collaborative person to provide administrative support to our Quebec City office. The selected candidate will have to operate a telephone switchboard to answer, screen and forward telephone calls. He/she will also greet our customers or visitors as well as provide administrative support to the brokers in the office. This is full-time and permanent position that will require the candidate to be fully in-office.

Responsibilities

Answer and route calls to appropriate personnel or voicemails.
Mail management – deliver to recipients or coordinate with a courier
Maintain order and cleanliness at the front desk, conference rooms and kitchen, which includes cleaning counters and tables, appliances and managing the dishwasher on a daily basis.
Manage the boardroom reservation system. Assist with audiovisual needs, and with meetings with external clients.
Greet and announce clients, applicants and visitors. Create passwords to grant them access to the company’s Wi-Fi network.
Order office and kitchen supplies, for example paper, ink, cartridges, coffee milk etc.
Coordinate events with vendors and suppliers.
Coordinate the agenda and meetings for the brokers.
Create expense reports for brokers.
Gather supporting documentation to complete voucher forms and process sales professionals’ commission payments.
Other duties may be assigned.

Qualifications

College diploma required.
Fully bilingual with excellent written and spoken French and English.
Ability to write routine correspondence and to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Intermediate skills with Microsoft Office Suite.
Ability to be efficient, timely, and reliable in a teamwork setting,
Ability to work under tight deadlines and reprioritize workload to accommodate new projects/requests,
Ability to work with minimal to no supervision.
