POSITION SUMMARY: The Receptionist is responsible for a wide variety of office duties in support of the branch office. This includes coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, and emails.

Essential Duties & Responsibilities:
• Respond to telephone, e-mail, and in-person inquiries from employees, clients, business partners, and others.
• Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
• Receive and distribute all forms of paper correspondence.
• Where necessary, assist in the compilation of data for various reports.
• Present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
• Ensure all forms and reports are completed as needed.
• Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
• Maintain a tidy and presentable reception, printer and meeting area.
• Provide administration support, document preparation, filing, data entry, and scanning.
• Complete expense reports and other spreadsheets as assigned.
• Assists with customer invoicing and online submissions as required.
• May assist with making travel arrangements.
• Order office supplies, maintain and track office inventory to keep office supply cabinets stocked and organized.
• Coordinate coffee supplies, ensure supply cabinets/ coffee areas are stocked and organized
• Maintain a clean and tidy kitchen/lunch area which may include emptying, loading dishwashers, making coffee & cleaning out coffee machines.
• Coordinate and assist with employee and community events.

Required Skills, Tools or Competencies:
• Must have a High School Diploma.
• A certificate or Diploma in Business Administration would be an asset.
• 1-2 years’ previous experience in a similar role.
• Proficiency with Microsoft Office Word, Excel, and Outlook.
• Ability to apply understanding to carry out instructions in written, verbal, or diagram form.
• Must be punctual and reliable.
• Highly organized with exceptional attention to detail.
• Must display a positive attitude and demeanor.
• Excellent analytical and problem solving skills.
• Superior telephone manners and strong interpersonal skills.
• Strong written and verbal skills to communicate with all levels of the organization.
• Outstanding customer service orientation.
