Job description, work day and responsibilities

Position: Receptionist

Education: 10th / 12th / Any Graduate

Experience: 10th / 12th / Any Graduate with more than 2 years of experience

· Operate EPABX system and maintain information for all incoming / outgoing call in prescribed format

· Coordinate for official tea or coffee & maintain record for the same.

· Should be aware about all HOD’s name & their availability with their respective extension

· Maintain internal and external Courier record & timely distribute the same day

· To attend all phone calls. If the respective person is not available on the seat, note down the message

· To answer calls and direct the calls to the relevant department/division

· To maintain complete professionalism in communication while dealing with clients, customers, etc. To be alert & transfer calls where there is a doubt to HOD or Admin or HR

· To greet and properly direct all visitors, including vendors, clients, job candidates, customers, etc.

· To answer queries of the visitors and provide required information to them

· Receive all the incoming and outgoing of Fax/couriers/mail and send them to the concerned department. Maintain the register for all the incoming and outgoing fax/couriers/ mail received

· Will also instruct the office boy as and when required for bringing and serving water and tea as required by the guest & various departments

· Welcome guests/VIPs coming to the company and maintain proper record of visitors and put up welcome board when instructed

(F) Skills:
• Good Knowledge & Experience in the relevant subject.
• Good communication and people skills.
• Excellent hospitality skills
