Job Description
Answering and directing phone calls: The receptionist manages incoming phone calls, screens and directs them to the appropriate departments or individuals within the real estate agency. They may also handle basic inquiries or provide general information about the agency's listings, office hours, and services.
Managing appointments and scheduling: The receptionist maintains the appointment calendar, schedules property showings, and coordinates with agents and clients to ensure smooth scheduling. They may use software or tools to manage appointments and maintain an organized system.
Administrative support: Receptionists in real estate offices often provide administrative assistance to the agents and other staff members. This may include preparing documents, filing, data entry, organizing paperwork, and handling incoming and outgoing mail.
Maintaining the reception area: The receptionist ensures the reception area is clean, organized, and presentable. They may arrange marketing materials, brochures, or property listings for display, and keep track of inventory for office supplies.
Assisting with marketing activities: In some cases, the receptionist may support marketing initiatives by updating listings on the agency's website, social media platforms, or other advertising platforms. They may also help in organizing open houses or promotional events.
Handling inquiries and providing information: The receptionist responds to inquiries from potential buyers, sellers, or renters, providing basic information about available properties, pricing, and general real estate processes. They may also direct more complex inquiries to the appropriate agents or departments.
