What you will be responsible for?

This role sits as part of our Operations and Support teams and reports to our Operations Director.

Your key activities in this role will be (but not limited to);

Manage all incoming calls to Citation Group, transferring or taking messages

Meet & greet visitors to the Sydney office

Manage all other reception related tasks such as courier requests, keeping reception area presentable, liaison with building management

Manage meeting room bookings and any other requirements such as catering & equipment

Housekeeping for the office including grocery and stationery orders, kitchen tidiness & care

Event co-ordination and assistance to the Law team and Social Committee

Overflow support to the Law team with a range of tasks including travel & expense management, meeting co-ordination, CRM management, creating & formatting documents, archiving and other ad hoc duties

Overflow support to the Support team during the regular monthly billings cycle

What we are looking for?

We’re on the hunt for an individual with a natural flair for collaboration and communication, passionate and resilient and able to bring a positive attitude to work each day.

Minimum 6-12 months experience providing administrative support in a corporate environment

Exposure to office activities such as diary and email management, event co-ordination

Exceptional organisational abilities including pro-active follow up

Clear and concise communication skills, both written and verbal

You are a natural rapport-and relationship-builder, at all levels

Trustworthy and aware of the need for confidentiality

Able to work under pressure and juggle multiple tasks

Proficient in MS Word, Outlook, PowerPoint and Excel with broader computer and technology skills desirable, such as Salesforce
