About the position:
We are currently looking for a friendly and professional Receptionist / Office Administrator to fill our full-time role as soon as possible. The role will encompass all responsibilities surrounding a busy reception. This includes answering and transferring incoming calls through the switchboard, greeting visitors and contractors in person, preparing mail distribution and assisting with travel bookings. Additionally, you will be required to assist in various administrative tasks, meeting room set-up and coordination and provide general clerical and administrative services to Eagle Farm operations and HR / WH&S as well as provide assistance and support to the Managing Director as required.
Typical tasks:
Answering phones and transferring calls.
Greeting visitors and contractors including inducting contractors (via our Lucidity onboarding platform)
Preparing mail distribution (including pick up and drop off to post office as required), opening and distributing mail.
Assist with travel bookings (raising PO’s for travel agent).
Stationery and Coles orders, making sure kitchens have all the correct levels of milk, tea, coffee etc.
Organising company BBQ’s and/or catering, ordering food, set up/clean up, sending out invites etc.
Various administrative tasks (meeting room set up and coordination), general clerical and administration duties including assisting operations, WHS, HR and Managing Director.
Manage corporate leased vehicles including organising servicing and cleaning.
Maintain pool utility vehicle including logbook, current license when issuing key, point of call to ensure pool vehicle is maintained in a clean, serviced and undamaged and in appropriate safe working order.
Act as Communication Officer by providing assistance during emergencies. Maintain up to date lists in the emergency box each week.
Maintain security of keys and key register and ensure keys are issued and returned as required.
Company bulletin including employees on A/Leave, RDO’s, WFH collated each week and distributed.
Using SAP – New Vendor Set Ups.
Running errands, as required using company vehicle.
Organise service awards, plaques, and birthday cards for employees.
Handling of maintenance for the office and liaising with contractors where required including air conditioner servicing, alarm systems, fire safety checks etc.
It is essential that the successful applicant has:
A friendly & welcoming approach and ability to liaise with all levels of staff, stakeholders and visitors.
Word, Excel, PowerPoint and Outlook to an Intermediate skill level
Ability to prioritise your tasks and work to a deadline.
Flexibility and the ability and the capability and willingness to offer assistance where needed.
Experience in a similarly busy and diverse Reception / Administration role.
Excellent presentation skills
A willingness and ability to learn all aspects of the role.
Work autonomously.
Must have a current driver's license.
