We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! Duties
Greet visitors and clients warmly, providing exceptional customer service at the front desk
Manage multi-line phone systems, directing calls accurately and professionally
Schedule appointments, meetings, and calendar management for staff and executives
Perform data entry, maintain filing systems, and ensure all records are organized and up-to-date
Handle incoming and outgoing correspondence via email, mail, and courier services
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
Support office management activities including supply ordering, inventory tracking, and facility maintenance
Proofread documents for accuracy and clarity before distribution
Provide administrative support such as copying, scanning, and preparing reports or presentations
Maintain a professional appearance of the reception area to ensure a welcoming environment
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Strong organizational skills with excellent time management abilities
Bilingual capabilities are highly desirable to serve diverse client needs effectively
Experience with office management systems and clerical procedures
Knowledge of phone etiquette and professional communication standards
Familiarity with medical or dental receptionist duties is a plus but not required
Ability to perform data entry accurately with high typing speed and attention to detail
Demonstrated ability to multitask efficiently in a fast-paced environment
Strong organizational skills for filing, scheduling, and document proofreading
Customer service orientation with a friendly demeanor and problem-solving skills
