Qualifications

This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve results

Two years of administrative support experience with a proven track record as a successful Administrative Assistant and/or Receptionist

High level of confidentiality, integrity, and trustworthiness

Strong customer service orientation

Working knowledge of Microsoft Outlook, Word, and Excel, as well as data entry skills

Skilled in the use and general maintenance of all office equipment

Demonstrated ability to prioritize, multitask, and meet deadlines in a fast-paced environment

Exceptional interpersonal verbal and written communication skills and ability to create a favorable impression for the Company to all employees, managers, customers, and the public

Possesses a high level of initiative and ownership with the ability to be self-motivated

A quick learner with the ability to master the day-to-day requirements and quickly establish themselves as a “go-to” person

Proactively identifies problems and offers solutions

Adapts easily and rapidly to change while maintaining a positive attitude

Ability to work independently and in teams

Responsibilities

The incumbent will Operate a main switchboard for incoming and outgoing calls and direct incoming calls to appropriate personnel as well as welcome and direct visitors professionally and courteously

This position will report to the General Manager of Procurement Analysis & Regulatory Affairs located at 2400 Stantonsburg Rd., Wilson, NC

Welcome, screen, and direct visitors, customers, etc

Operate a multi-line telephone system to answer incoming calls and take action as required

Screen telephone calls when appropriate and proactively handle any routine matters and requests

Greets and assists visitors (customers, clients, vendors, employees, and other visitors) in contacting the appropriate employee

Maintain a good rapport with all vendors

Coordinate and arrange meetings and events, which includes scheduling conference rooms and/or venues, preparing materials, reserving and preparing facilities, organizing catering, setting up rooms, coordinating transportation requirements, etc

Provide other administrative duties for management personnel as needed

Maintain and post employee phone directory for region including adding or deleting users

Coordinate with the IS department to resolve issues related to the phone system and copiers

Prepare and post monthly birthday notifications and organize quarterly birthday celebrations (send out emails and order cake)

Record and change the outgoing greeting on the switchboard for inclement weather/holidays to also include door signs

Coordinates office services, ie

ordering/maintaining supplies, coordinating maintenance requests, etc. (copiers, printers, postage machine, hvac, plumbing, roofing, cleaning, coffee/soda supplies)

Facilitate postage machine questions and collection

Assist with company calendar order and distribution

Prepare business card requests and coordinate orders with the vendor

Review vendor invoices for accuracy; obtain proper approvals and research when required before forwarding to accounts payable or purchasing

Serves as ESG data entry support

Performs other related duties as assigned

Qualifications

Education and Experience Required:

• Two years of administrative support experience with a proven track record as a successful Administrative Assistant and/or Receptionist. Associate’s degree in a related field preferred and/or an equivalent combination of education and experience
