Records Technician

Location: Montréal, Quebec

The candidate selected will be responsible for utilizing records management best practices along with defined processes and procedures to handle the day-to-day records tasks in our Montreal and Quebec City offices.

You will be focusing on:

Work with legal assistants to facilitate the collection, organization, and digitization of physical files

Work with legal assistants and lawyers to troubleshoot records-related problems, escalating to the records manager where necessary

Execute all off-site physical file activities, including retrievals, transfers, permanent withdrawals and reconciliations, data accuracy, destruction activities, working with the Quebec City office services team for any hands-on needs

Generate reports and seek approvals for destruction of files from partners, escalate extension requests, and maintain record of approvals

Conduct regular reviews and execute clean up of file data in our records database as directed by the records manager

Coordinate and conduct training/orientation for legal support staff, giving guidance on electronic file management, scanning, and use of records systems and repositories

Act as the onsite contact for our shredding vendor in the Montreal office

Assist with processing monthly supplier invoices when required and ensure all spend is processed through our procurement platform

Report on records destruction activities and offsite activities to provide insights informing the firm’s records management budget and disposition strategy

Maintain onsite cabinet inventory and assist with file moves/consolidation to maximize use of onsite storage space, working with the Quebec City team to ensure this is completed locally

Provide accurate and timely data input into enterprise system

Liaise with various teams to execute projects that further refine and promote the firm’s records management strategy

Follow records management policies, guidelines and procedures, flagging areas for improvement as they are found

What you bring to the role:

3 – 5 years of records management work experience

Experience with data set is a strong asset

Must possess a high level of customer service and have a strong attention to accuracy

Working knowledge of Microsoft Office, records management software and database applications

Ability to independently solve problems in a challenging environment that is evolving

Excellent verbal and written communication skills, with the aptitude to interact with all levels of the organization with confidence

Ability to meet deadlines in a fast-paced environment

Ability to lift heavy boxes

Flexibility (may have to work overtime and/or change working hours)
