Job Description

The Registrar manages the museum’s collection records in coordination with other museum employees, outside agencies, and researchers, meticulously documenting all artworks including their history, condition, and location. This includes accession records, deaccession records, deeds of gift, and loan agreements.

This position reports to the Chief Curator.

RESPONSIBILITIES

· Maintain accession, loan, gift, donor, and insurance files, and the storage of collections

· Work with contract artists in the establishment and maintenance of artwork files for the collection and special exhibitions

· Maintain insurance files and processes insurance claims

· Create, comply, and maintain legal documents, histories of us, and physical histories of permanent collections, objects, and/or specimens

· Develop and implement inventory projects

· Maintain archives and condition reports on works of art

· Disseminate information as needed to other departments, researchers, and students

· Make files and records available to staff, docents, and outside researchers

· Coordinate information with public relations, development, conservators, and photographers

· Coordinate the shipping of works of art, and the scheduling of installations

· Oversee the handling of works of art and supervise installation for exhibitions

· Act as courier or designate courier

· Research, edit, and prepare museum labels

· Develop and monitor internship program

· Purchase office and collections management equipment and supplies

· Produce correspondence and other materials

· Performs other duties as assigned

QUALIFICATIONS AND DESIRED SKILLS

Bachelor’s degree in a related field (e.g. fine arts, project management, arts administration, art history, etc.); Master’s degree preferred
3+ years of work experience in a comparable field such as a gallery, museum, arts non-profit, private collection, etc.
Wide knowledge of and enthusiasm about contemporary art, museum registration methods, and museum procedures
Knowledge of art history and art practices
Strong interpersonal, written, and verbal communication skills; bilingual preferred, not required; ability to easily communicate with a variety of constituents and stakeholders
Strong organizational, planning and research skills
Ability to deal tactfully and effectively with various professional groups in arranging exhibits or guest programs
Ability to train and supervise staff and interns so as to maintain effective work and high morale
Ability to research, organize, and maintain systems of files and reports
Ability to coordinate the movement and handling of artwork
Ability to work independently and self-directed, exercise creative problem-solving, initiative and good judgment to successfully organize and complete assignments
Detail-oriented, meticulous, and conscientious in following through on assigned tasks
Knowledge of condition reporting and collection care methods and procedures
Ability to establish and maintain effective working relationships with staff, artists, visitors, and community members
· Working knowledge of collections management systems

· Proficiency with Microsoft Office (Outlook, Word, Excel, and Power Point) required

PHYSICAL REQUIREMENTS

· Must be in good physical condition with the capability to effective use and operate various items of office equipment

· Must be able to move moderately heavy objects (35lbs.), bend, stoop, walk, climb stairs, stand, and sit for extended periods of time

· Must be able to work a flexible schedule including evenings and weekends
