Role Summary
The Reports Supervisor is responsible for supporting the reporting functions for the company. This includes inputting and distributing reports via TrackTik, managing automated notifications, and compiling ROI statistics. The role requires attention to detail in auditing distribution lists, creating reporting groups for new client contracts, and setting up mobile patrol tours for mobile sites.
Key duties also involve supporting the Sr. Supervisor and team to ensure client communications are timely, training new team members, and overseeing report distribution and quality assurance. The position requires a high level of organizational skills, the ability to multitask, and the flexibility to step in when necessary. Additionally, this role includes assisting with general administration, systems management, and ad-hoc projects to ensure smooth operations within the reports department.
We currently have one full time in-office position available for this role, from Saturday - Wednesday (9:00 am - 5:30 pm).
Job Responsibilities:
Inputting and distributing reports through TrackTik to clients.
Completing and compiling ROI and statistical reports.
Operations Support: Flagging reports that deviate from post orders and guiding guards to adhere to post orders.
Auditing and managing the Reports Distribution List.
Automating report notification settings for efficient delivery.
Creating and maintaining Mobile Patrol Vehicle Idling Stat Reports.
Establishing reporting groups for new client contracts.
Handling standard new client contracts, including setting up client email distribution lists, configuring automated email notifications, and responding to client emails post-action.
Setting up tokens and mobile patrol tours for mobile sites.
Reviewing and ensuring the accuracy of weekly and monthly statistics sent to clients.
Customize report templates, tour routes, and other related tasks.
Assisting the Reports Supervisor with additional responsibilities and stepping in to manage tasks in their absence.
Collaborating with employees and managers to clarify report details as necessary.
Supporting the training and onboarding of new employees in the reports department.
Delegating or relaying report-related tasks to the reporting team to ensure efficient execution.
Setting up TrackTik devices and site licenses as required.
Monitoring reporting groups to provide feedback and promote high reporting standards.
Ensuring timely and accurate client communication in line with deadlines.
Collaborating with relevant departments to ensure effective client support.
Assisting with general administration, systems administration, and ad-hoc projects as needed.
Ad hoc projects as required to support the department and overall business.
Job Requirements:
1-2 years of administrative experience.
Minimum of 1 year of supervisory experience.
Proficiency in Microsoft Office is a plus.
Excellent verbal and written communication skills in English.
Vietnamese speaking is an asset.
Strong organizational skills with keenttention to detail.
Ability to manage multiple tasks and ongoing projects simultaneously.
Knowledge of TrackTik is an asset.
Experience in the security industry is preferred but not required.
