Logistics Lead – Specialized Community Services

Our Specialized Community Services (SCS) team members provide meaningful support in community-based settings by delivering services that meet the unique needs of the people we serve. We offer tailored, person-centric support through programming that supports the individual needs of the adults, youth and children in our care.
The Logistics Lead is responsible for coordinating and maintaining CBI Home Health SCS residential homes to ensure clients are provided with safe, efficient, sustainable, and well-maintained SCS homes. Through sound compliance to requirements, this role manages and prioritizes round-the-clock nature of work orders through our SCS Facility Management System (ServiceNow) while building and maintaining collaborations across the SCS Residential teams, contractors, internal and external stakeholders.
The preference is for this position to be based in Calgary, Alberta; please be aware that this is a national role, with responsibility for SCS homes across Alberta, British Colombia, New Brunswick, Ontario and Saskatchewan, and some travel will be required.
Key Responsibilities
Project Management and Standards Fulfillment
• Proactively coordinates with vendors/contractors and SCS Managers for effective and timely execution of work orders, projects, and facility management.
• Perform regular routine inspections on SCS residential homes and perform preventative maintenance to identify any future improvements/maintenance work within acceptable timeframes.
• Effectively monitors and prioritizes round-the-clock nature of work orders to resolution.
• Responsible for vendor management and sourcing while ensuring potential vendors have the necessary licenses/permits, compliance with regulations and expertise to complete the required services.
• Collaborate with Operations team in coordinating procurement of business solutions (i.e., fire alarm, sprinkler system, furnishing, etc.) as well as develop connections with relevant CBI Home Health departments including IT (i.e, security system, security camera, printer, internet connection, etc.).
• Ability to travel between provinces on work orders/projects that may require onsite maintenance evaluations on SCS residential homes with vendors/contractors.
• Provide training and guidance to end-users of ServiceNow and ensures best practices with system usage are implemented.
• Assist SCS Operations Team during the client’s move in and move out residential homes.
Business Performance and Operational Excellence
• Delivers Property Administration by ensuring all Health and Safety Inspections, Regulations and Codes Standards are met and achieved to meet Building Standards and Property Compliance.
• Ensures compliance with CBI Home Health SCS policies and procedures across assigned sites.
• Effectively monitors and mitigates environmental risk.
• Responsible in staying up to date on the latest processes and regulations to maintain compliance on assigned residential homes and suggest improvements to existing SCS processes and infrastructure.
• Responsible for ensuring the residential homes meet local standards regarding tenant – landlord, health, safety, and housing standards.
• Ensure all required and appropriate licenses are in place and are valid/current for all homes.
• Demonstrate strong communication and excellent listening skills to effectively deal with SCS Operations team, property owners, contractors, and other internal and external stakeholders.
• Support coordination of health and safety inspections, fire inspections, and acquiring building permits relating to renovations.
Administration and Documentation
• Responsible for reconciling ongoing invoices with appropriate approvals obtained.
• Ensure work orders for the maintenance and renovations are complete and signed off.
• Confirm necessary licensing information is documented and submitted for internal and external approval in a timely manner.
What You Will Need To Be Successful
• Post secondary education in Facilities Management, Business, Public Administration or a related discipline, or a combination of equivalent education and experience.
• A minimum of 2 years experience in a related area such as building services, management, maintenance, or health and safety, licensing, and administration; familiarity in working in an environment that support individuals in 24/7 shift staffed homes is considered an asset
• Excellent communication, time-management and organization skills, with the ability to work as part of a team in a fast paced, multi-tasking environment.
• A results-orientated focus, with strong problem-solving skills and a commitment to quality outcomes.
• A dedication to ensuring a positive resident and family experience.
• Strong computer literacy and proficiency with MS Office.
• Ability and willingness to travel.
