The Opportunity

Join Our Melbourne Real Estate Team as a Full-Time Administrative Assistant

We’re looking for a proactive and personable Administrative Assistant to join our Real Estate practice in our Melbourne office on a full-time, on-site basis. This is a fantastic opportunity to work closely with experienced Legal Assistants and lawyers, gain hands-on exposure to property matters, and build your career within a leading global firm.

You’ll be a key part of a collaborative and fast-paced team, supporting the smooth running of matters from start to finish while delivering an excellent client experience.

Hours: Monday–Friday, 9:00am–5:15pm

Location: Melbourne office (full-time on-site)

Role type: Permanent, full-time

What You’ll Be Doing

No two days will look the same. This role offers a great mix of responsibilities, including:

Supporting Real Estate matters throughout their lifecycle, including file management, time recording and monthly billing

Assisting Legal Assistants and lawyers with document preparation, amendments, formatting and coordination

Managing competing priorities and deadlines to keep matters running smoothly

Providing general administrative support such as scanning, printing, photocopying and document collation

Helping with business development activities, pitches and the coordination of client and team events

Taking care of day-to-day office tasks including processing mail, booking meeting rooms, arranging couriers and managing expenses

Updating client information, databases and internal systems with accuracy and attention to detail

Being a reliable point of contact within the team and contributing to a positive, collaborative working environment

What We’re Looking For

Have previous administrative experience in a professional or corporate environment

Are highly organised, detail-oriented and take pride in producing high-quality work

Are confident using Microsoft Office (Outlook, Word, Excel and PowerPoint)

Enjoy supporting others and bring a proactive, can-do attitude to your work

Can juggle multiple tasks and remain calm under pressure

Communicate clearly and build strong working relationships across teams

Are tech‑confident, adaptable, and willing to learn new systems as part of your day‑to‑day work
