Return to Work and Work, Health, Safety Administration Officer

Purpose

The Return to Work and WHS Administration Officer plays a central role in supporting City of
Marion’s health, safety and wellbeing objectives through the coordination of return to work
programs, injury management processes, and provision of high-quality administrative
support.

Working as a proactive member of the WHS team, this role ensures compliance with
legislative frameworks including the Return to Work Act 2014, supports timely recovery and
rehabilitation of injured employees, and contributes to the operational efficiency of WHS
systems and initiatives.

The officer will be proactive, tech-savvy, and customer-focused—bringing innovation, strong
administrative skills, and a commitment to service excellence.

Key Deliverables

1. Return to Work Coordination
Manage the day-to-day coordination and administration of workplace injury claims and
rehabilitation programs in line with LGAWCS requirements and the Return to Work Act 2014,
ensuring timely, respectful, and compliant support for injured employees.

2. Support Wellbeing and Early Intervention Programs
Assist in the planning, administration and communication of wellbeing initiatives,
contributing to a positive, inclusive and supportive workplace culture.

3. Maintain WHS and RTW Systems
Monitor and support the accurate and timely entry of WHS and injury data into systems such
as SkyTrust, generate reports, track actions, and identify opportunities to streamline
processes using digital tools and automation.

4. Deliver High-Quality Administrative Support
Provide reliable and efficient administrative services including meeting coordination
(including the Health and Safety Committee), document preparation, purchase orders,
system maintenance, and workflow tracking to support WHS operations.

5. Ensure Legislative and Ethical Compliance
Uphold obligations under WHS and Return to Work legislation, City of Marion policies, and
the "Think Safe Live Well" philosophy, while demonstrating high standards of integrity and
confidentiality in all activities. Review and update policies as required by legislative reforms.

6. Drive Continuous Improvement and Innovation
Identify and implement opportunities for improving administrative systems and processes,
leveraging digital platforms, AI tools, and automation to enhance service delivery and team
productivity.

7. Build Strong Relationships
Communicate effectively with staff, providers, and insurers to ensure coordinated care and
support, and provide clear information regarding recovery pathways, wellbeing resources,
and WHS procedures.

Person Specification

Essential criteria

Certificate-level qualification in Business Administration, WHS, or related field (or equivalent
relevant experience).

Practical knowledge of the Return to Work Act 2014 and workers’ compensation
coordination.
Experience supporting WHS systems, return to work processes, or similar HR/health
administration functions.
High proficiency in digital tools, with demonstrated experience using WHS platforms
(e.g. SkyTrust), Microsoft 365, and reporting systems.
Strong administrative and organisational skills with high attention to detail and accuracy.
Demonstrated ability to manage sensitive and confidential information with
professionalism and discretion.
Excellent interpersonal and written communication skills, with the ability to pro-actively
engage and support stakeholders at all levels.
Ability to prioritise tasks, meet deadlines, and work effectively in a team-oriented,
dynamic environment.
A proactive mindset with a strong commitment to customer service, wellbeing, and
continuous improvement.
Desirable criteria

Exposure to LGAWCS processes and reporting.

Experience using or supporting AI tools to enhance administrative workflows or
customer service.

Satisfactory completion of a National Police Clearance (will be arranged by the City of
Marion)
Satisfactory completion of applicable Medical Assessment (will be arranged by the
City of Marion)
Must be either an Australian resident or possess the legal right to work in Australia,
with the ability to provide documentation of a valid work visa.
